Financial Management Duties
IT accruals
IT forecasting of costs and variance explanations
IT budget planning
Payment follow up from Vendors
Monitor IT Procurement Mailbox for invoices and maintenance renewals
Review purchase agreements to determine proper AP coding
Manage MS Licensing portal for MS benefits and reservations for Office 365
Manage VMWare portal for token usage
Track expenditures that belong to Operating Units and provide AP with correct Operating Unit for intercompany charges
Work closely with Corp A/P on tasks
Ability to work with OpU IT Leaders on invoicing issues
Understanding of capital vs expense in IT purchases to verify coding, budget and forecast
Vendor Management/Asset Management Duties
Create Purchase Orders for Professional Fees, IT hardware/software purchases, Contractors, Maintenance renewals
o Includes creating a PO Justification form, reviewing all contracts and ensuring all numbers match before submitting for management approval
Tracking approval through the workflow to ensure timely approval
Review SW Maintenance agreements for accuracy compared to budget, escalate any variances
Receive against POs monthly, complete Open PO report monthly
Track asset usage for various software licensing products by combining Software One, Insight, CDW purchasing info
Proactively reach out to vendors to get quotes for upcoming Software Maintenance renewals
Participate in employee onboarding process to ensure Acquisitions and new hires software and assets are tracked correctly
Project Management Duties
Process time reporting in JD Edwards system bi monthly
Ensure all IT users submit time in the Project Mgmt System monthly (future)
Project Management tool administration (add users, trouble shoot issues/training for users)
Reporting and dashboards, monthly
Review monthly status reports and ensure all PMs are following status report templates
Assist M&A Project Managers and Application/Infra Project Managers in Project Management duties, including task and milestone management, financial tracking, resource forecasting etc.
Cell phone administration Duties
Order/upgrade devices using online tools
Trouble shoot with users to correct issues on their cellular devices
Adjust plans/features on lines of service
Ship equipment from on hand inventory
Review usage alert messages received via email
MUST have great customer service skills and the ability to multi task.
