Overview: The IT Administrator / Project Coordinator's primary role is to support the Regional Operations Management Office on invoice processing and contractor tracking & contract management. Secondary function includes performing project management support to the IT change team.
If you are good at:
• contract handling of Tech IT External contractors (new hires & renewals): o creating Joiners and leavers process management including new resource on-boarding o pro-actively managing contractor renewal process o organizing and controlling real-estate requirements & building access cards o handling purchasing requests for new PCs/phones/laptops etc o producing "new hire" orientation documentation o liaising closely with Procurement, ORM (Operation Risk Management) and recruitment agencies on contractor's contractual management o tracking and reporting external contractor's movements
• Processing monthly invoices for IT Applications Team including: o contractors' invoices - validating timesheet and rates; ensuring allowance claims are aligned to signed work order/MSA o IT Applications invoices - Maintenance renewal, Head Office charges etc o liaising with respective Chapter Leads, Product Owners to validate invoices' content
• Performing project admin duties in the IT Change team: o assisting PMs and supporting projects with the consolidation of PFM / status updates for bi-weekly and monthly meetings alongside the documentation of meeting minutes o assisting management team in reconciliations across various management and reporting systems o assisting management team in the preparation and maintenance of forecasts and budget o processing Improvement by interacting with other groups as appropriate
If you are:
• a good communicator (both verbal and written) in a project coordinating and/or finance administration area (financial sector is a plus) for at least 5 years
• experienced in working with Technology & Operations team, and with basic accounting knowledge
• independent, self-directed, motivated and can work with minimal supervision
• highly analytical and can multi-task with good follow-through
• delivery-oriented used to meeting strict deadlines, while producing quality work
• able to perform effectively as an individual or a team player
• willing to take up additional ad-hoc task from time to time
If you can:
• Process monthly invoices for IT Applications Team
• Perform Project Admin duties in the IT Change Team
• Use your middle level experience in MS Office applications including Excel, Project and Powerpoint to perform these tasks
