Job Summary
 
The Human Resource Secretary provides administrative and clerical support to the Human Resources department. The role is responsible for handling SSS benefits, payroll processing, and employee training coordination, ensuring compliance with labor laws and company policies.
 
Key Duties and Responsibilities
1. SSS and Government Statutory Compliance
Process employee SSS registration, updates, loans, and benefits
Prepare and submit monthly SSS contributions
Maintain accurate SSS records for all employees
Coordinate with government agencies (SSS, PhilHealth, Pag-IBIG) when needed
Assist employees with inquiries regarding benefits and contributions
2. Payroll Administration
Prepare and compute payroll
Record attendance, overtime, undertime, and leave deductions
Ensure correct deductions for SSS, PhilHealth, Pag-IBIG, and taxes
Prepare payroll summaries and reports for management
Maintain confidentiality of payroll and employee compensation records
3. Training and Employee Development
Assist in planning and scheduling employee training programs
Prepare training materials, attendance sheets, and evaluation forms
Maintain training records and employee skill files
Coordinate with trainers, supervisors, and external training providers
Monitor training completion and compliance requirements
4. Employee Records Management
Maintain updated (personal data, contracts, evaluations)
Prepare employment documents such as appointment letters and memoranda
Ensure proper filing and safekeeping of HR records
5. HR Administrative Support
Assist in recruitment activities (posting, screening, scheduling interviews)
Handle employee inquiries regarding HR policies and procedures
Support disciplinary actions documentation and employee relations
Perform other HR-related tasks as assigned by management
Qualifications
Graduate of Human Resource Management, Psychology, Business Administration, or related course
Experience in SSS processing, payroll, and training coordination preferred
Knowledge of Philippine labor laws and statutory benefits
Strong organizational and record-keeping skills
Proficient in MS Office (Excel, Word)
Trustworthy and detail-oriented
