Job Summary:
 
The HR Assistant is responsible for providing administrative support to the HR department, ensuring smooth day-to-day operations related to recruitment, employee services, records management, payroll support, and compliance with relevant labor laws and regulations in the Philippines.
 
Key Responsibilities:
Recruitment & Onboarding:
Assists in the recruitment process, including posting job vacancies, screening resumes, and scheduling interviews.
Prepares offer letters and employment contracts for new hires.
Assists in onboarding new employees, including preparing documents, conducting orientation, and introducing them to company policies and procedures.
Employee Records Management:
Maintains and updates employee files and records (both digital and physical), ensuring accuracy and confidentiality.
Ensures compliance with the Data Privacy Act (Republic Act No. 10173) in handling employee information.
Prepares and manages employee certificates, clearances, and other relevant documents.
Employee Benefits Administration:
Supports the administration of employee benefits such as SSS (Social Security System), PhilHealth, Pag-IBIG, and other company-specific benefits.
Assists employees in filing claims, enrolling in benefit programs, and resolving related queries.
Compliance & Documentation:
Ensures compliance with labor laws and regulations in the Philippines, including the Labor Code, Republic Act 10524 (persons with disabilities employment), and other relevant legal provisions.
Prepares government reports and assists in the submission of statutory reports (e.g., SSS, PhilHealth, Pag-IBIG).
Ensures the timely filing and maintenance of mandatory government documents (e.g., contracts, 201 files).
Employee Relations:
Acts as a point of contact for employees' HR-related queries, including leave requests, benefits, and general policy clarifications.
Assists in organizing employee engagement activities or events.
Training & Development Support:
Maintains training records and track employee participation in training initiatives.
HR Projects & Administrative Support:
Provides general administrative support for HR projects, meetings, and other HR-related initiatives.
Assists in maintaining HR-related reports, metrics, and presentations.
Health and Safety Compliance:
Helps in ensuring the company complies with Occupational Health and Safety standards.
Assists in monitoring workplace safety procedures and report any concerns to management.
Other Duties:
Performs other related tasks or duties as assigned by the HR Manager
Qualifications:
Education: A bachelor's degree in Human Resources, Psychology, Business Administration is preferred but not required.
Experience: At least 1-2 years of experience in an administrative or HR support role is preferred.
Skills:
Proficient in MS Office applications (Word, Excel, PowerPoint).
Knowledge of HRIS (Human Resource Information System) is a plus.
Strong organizational and time-management skills.
Excellent verbal and written communication skills in English and Filipino.
High level of confidentiality and integrity in handling employee data and sensitive information.

Familiarity with Philippine Labor Laws and HR best practices.
