JOB PURPOSE:
 
Under the immediate supervision of the HR Supervisor, assists with recruitment, record maintenance, benefit and payroll processing, training and development programs, employee discipline, and provides related clerical support to all employees ensuring timeliness, accuracy, completeness and confidentiality in adherence to statutory requirements and established HR procedures in order to promote employee engagement, productivity and retention. Confidentiality and competent work is essential because errors or omissions may have significant financial and/or legal implications.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Prepares and posts job ads, receives resumes and applications, shortlists candidates, conducts initial interviews, conducts tests, schedules further job interviews, runs background checks and verifies references to ensure proper applicant screening and selection.
Follows-up successful candidate/s, collects employment and tax information, prepares new employee file, oversees completion of compensation and benefit documentation and ensures that these are delivered to employee/s.
Orients new employees to the organization; sets up a designated log-in, workstation, email address, etc.; conducts benefit enrollment process and coordinates new employee assessment.
Assists in payroll preparation making sure all work hours and leaves of absence are tracked; answers payroll questions and facilitates resolutions to any payroll errors based on established policies and procedures.
Assists in benefits tasks such as processing employee contributions, claim resolutions, reconciling benefits statements, and processes invoices for payment accurately and efficiently.
Maintains an updated and orderly HR files and database with all the information about employees including personal information, salary, benefits, employment status, performance reviews, grievance records and disciplinary actions.
Performs file audits to ensure accuracy of data and that all required employee documentation is collected and maintained.
Completes termination paperwork and assists with exit interviews.
Acts as employee advocate and conveys employee issues and concerns to management for resolution.
Assists with company-related employee travel, internal event organization and coordination, including recreational events and training activities to create a learning, fun and engaging employee environment.
Sets-up and maintains accurate files, and ensures security of records; organizes paperwork and correspondence for fast retrieval.
Maintains a neat and orderly working area.
Keeps abreast of policy changes, developments and best practices involving employee engagement and retention, labor relations, and employee discipline. Engages in on-going educational opportunities to update job knowledge.
Receives, stores, issues, monitors inventory and orders office supplies for the operational use of all departments.
Performs job-related duties as assigned.
QUALIFICATIONS
Knowledge
 
A solid grasp of the Company's business operations, good knowledge in basic HR functions, labor standards, procedural due process, and conflict management. In depth understanding of human behavior, office procedures and records management.
 
A Bachelor's degree in psychology human resources, or any HR-related courses with at least 3-6 months experience in related field.
 
Skills
 
Has strong problem-solving and analytical skills. Has great attention to details alongside excellent organization and communication skills in both oral and written form, and interpersonal skills to work effectively with employees across all levels. Must be a good negotiator. With good time management skills, ability to multi-task and is computer literate.
 
Behavior
 
A high degree of professional judgment, integrity and discretion to handle confidential information properly. Ability to work with a minimum of direction - a well-organized and self-directed individual who is able to analyze the situation and solve problems. PHYSICAL DEMANDS AND WORK ENVIRONMENT
The incumbent typically performs work in a well-ventilated and illuminated office environment.
The employee must be physically able to stand, sit, talk, hear, and use hands and fingers to operate a computer, printer, telephone, fax machine among other office machines; frequently required to use repetitive hand motion, handle or feel.
With filing activity requiring the ability to lift files, open filing cabinets and bend, reach overhead or stand on a stool as necessary, and at times walk to move or carry light-weight objects or materials.
Close vision when using computer, light to moderate lifting
Ability to uphold stress of overtime work is required.
