Job Description
With experience in handling confidential files, emails, mails and packages of the organization.
Records Keeping
Consolidate reports of all Site HRs.
Receiving visitors at the front desk by greeting, welcoming, directing and announcing the visitors to the appropriate person and office.
Complete procedures when Guests arrive and leave.
Answering, screening and forwarding incoming phone calls in a timely manner and direct calls to the correct offices.
Provide basic and accurate information in-person and via phone or email.
Receive, sort and distribute daily mails and / or deliveries.
Create and manage both digital and hardcopy filing systems for all partners
Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures).
Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
Order front office supplies and keep inventory of stock.
Keep updated records of office expenses and costs.
Arrange travel and hotel accommodations and prepare vouchers for payment accordingly.
Prepare utility bills and take payments.
Perform other clerical duties such as filing, photocopying, transcribing and faxing whenever necessary.
Job Qualification
Candidate must possess at least Bachelor's/College Degree in any field.
Required language(s): English
At least 2 Year(s) of working experience in the related field is required for this position.
Required Skill(s): Communication Skills
Preferably 1-4 Yrs Experienced Employee specialized in Clerical/Administrative Support or equivalent.
Proven work experience as a HR Asst., Receptionist, Front Office Representative or similar role.
Proficiency in Microsoft Office.
Hands-on experience with office equipment (e.g. fax machines and printers).
Professional attitude and pleasing appearance.
Solid written and verbal communication skills.
Ability to be resourceful and proactive when issues arise.
Excellent organizational skills.
Multitasking and time-management skills, with the ability to prioritize tasks.
Customer service attitude.
