Description:
The incumbent will be responsible for the establishment, run and continuous improvement of Payroll in a highly dynamic and complex company environment.
Head of Payroll will hold overall responsibility for compliant, accurate and timely payroll cycles across all countries served. This includes but is not limited to closely align and coordinate with all payroll feeding processes such as compensation & benefits, time management processes, leave of absence, day to day time recordsk creation and allocation of working hours models/shift models within the different countries abd legal entities served.
In close collaboration with finance and various third party vendors and systems (e.g. Payroll- Provider, Benefit - Provider, etc.) Payroll will serve about 13000 employees (e.g. exempt, non-exempt, union, Impat, Expats, Executives). Including a number of operational units in different locations. Following Deployment Roadmap and System Roadmap the incumbent is responsible for supporting.
Duties & Responsibilities:
Responsible for managing Payroll in line with the group wide HR service delivery model with high quality.
Provide support to all countries in scope.
Responsible for the seamless roll-in of the selected BI countries following the Deployment Roadmap regarding payroll.
Responsible for developing the department: solving operational or strategic problems, process analysis, strategy, budget and efficiency drive.
Additionally covering the accounting side of payroll: bookkeeping, year-end activities such as accruals, fast close.
Responsible for driving operational excellence within the Payroll teams for the execution of all related end to end processes for compliance
Ensure the payroll cycle transactions are processed accurately and timely; payout and calculation of pay, loans, taxes and social insurance in a quickly changing legal environment. Also covering impats/expats.
Ensure compliance with internal policies and controls, as well as compliance with internal laws and regulatory guidance
Responsible for properly coding payroll, taxes, cash, tax payments, etc. are reconciled to payroll ledger/system (if applicable).
Responsible to correctly process/upload all data that is transmitted to payroll from various payroll feeding processes such as compensation & benefits, time management processes, leave of absence, day to day time records, etc.
Interfacing with IT customizing and programming
Responsible for leading the payroll team and payroll team leads, interacting with all payroll feeding process teams according to our values
Liaise with the respective HR Director/local leadership to ensure operational process excellence adapted to the needs of the region/country in alignment with Regional Service Center Strategy to ensure quality service delivery in alignment with broader HR vision and efficient, high quality and compliant Payroll and Time management process.
Responsible for vendor management (if applicable) to strengthen relationship, ensure the quality of work and performance evaluation to ensure the payroll cycle transactions are processed accurately and timely. Close collaboration with different local benefit-providers as important interface of Time management processes/data.
Understand legal changes and implement or request necessary changes in regards to all in scope countries and in a number of fieldsk such as: tax law, social insurance law, law in the work place, tarrif law and internal rules and regulations. Decide on risk taking in unclear legal circumstances.
Manage the department within the respective budget and monitor performance within the team.
Requirements:
With Academic/Bachelor's degree in Business or equivalent; preferably with University Degree
With at least 10 years of related experience in Payroll and Time Administration
With proven years of experience in leadership, leading productive and motivated team leads and specialists
With proven expert knowledge in the field of Payroll and Time Administration
With Extensive Customer Orientation
Preferably with International experience, can manage a team with various countries of scope
Ideally with work experience in different HR or finance roles
Negotiation experience with co-determination bodies is a nice to have for the role
Strong external network providing access to best HR and talent practices and innovation.
