As we scale our business development efforts, we're looking for a detail-oriented RFP Writer to manage high-quality proposal submissions efficiently.Role OverviewAs an RFP Writer, you will be responsible for identifying, drafting, polishing, and submitting proposals in response to RFPs across multiple platforms. You'll leverage AI tools, standardized templates, and CRM systems to ensure timely, compliant, and high-impact submissions. This is a hands-on role that requires strong attention to detail, excellent written communication, and the ability to manage multiple deadlines while maintaining high quality.Work Location

Key Responsibilities
Search for and identify viable RFPs daily using BidNet and Merx.
Apply a quick qualification scorecard to evaluate RFPs based on budget, industry fit, services match, and timelines.
Record selected RFPs in HighLevel CRM with deadlines and key notes.
Generate draft proposals using ChatGPT and Setsail's template blocks (intro, services, case studies, guarantees).
Review and polish AI-generated drafts for clarity, compliance, and alignment with Setsail's positioning.
Finalize proposals in PandaDoc, ensuring proper formatting, attachments, and RFP compliance.
Submit proposals through appropriate channels (BidNet, Merx, email, or client portals).
Track all submissions in CRM and update stages: Identified → Drafting → Submitted → Awaiting Outcome → Won/Lost.
Provide daily recap reports in ClickUp Chat, highlighting RFPs identified, submitted, pending outcomes, and any blockers.
Ideal ProfileRequired Skills & Experience
2+ years of experience in RFP writing, proposal management, or business development support.
Strong proficiency with proposal software such as PandaDoc or similar tools.
Experience with CRMs for pipeline management and deadline tracking.
Excellent written English with a keen eye for detail and compliance.
Ability to work efficiently under tight deadlines and manage multiple proposals simultaneously.
Nice to Have
Experience with North American government or corporate RFPs.
Knowledge of SaaS, marketing, or digital services industries.
Experience standardizing templates and building scalable proposal processes.
