Under the guidance and oversight of Finance and Administrative Manager (FAM), the Finance and Administrative Assistant (FAA) will provide both operational and administrative support to NIRAS Asia Manila, Inc to ensure timely and efficient recoding, delivery and utilization of contracted project funds in accordance with NIRAS Financial management systems, policies and procedure and in compliance to local laws, Generally Accepted Accounting Principle (GAAP) and funding agencies terms and conditions.
What you will do on Finance
Receive all incoming documents, such as memos, cash advances, invoices for payment and liquidations and all other related documents;
Process pre-audit requests for payments, POs and ensure completeness of supporting documents before endorsement for payment;
Prepare payments/checks for approval by authorizer via MBOS;
Prepare Disbursements, Cash Receipts and Journal Vouchers for the Finance Manager's Review
Record journal entries with appropriate class and location account in QuickBooks for review of the Financial Manager;
Assist the FAM and respective Project Managers in the monthly monitoring of budgets for contracted projects;
Process Petty Cash Expenses
Assist in controlling and monitoring that all expenses are in line with the approved forecasted budget;
Maintain and timely filing of digital files, scanning of paid payment vouchers, journal vouchers with supporting documents and other related financial documents of each transaction;
Support the FAM with reconciliation and BIR reporting
What you will do on Administration
Assist the FAM in administrative and HR matters and help ensure understanding and compliance of employees;
Provide administrative and clerical support;
Assist in the logistical requirement of the team and contracted project as needed;
Coordinate and maintain recording of weekly timesheets in QuickBooks;
Take accurate minutes of key meetings;
Carry out other tasks as assigned by the FAM or the Managing Director;
Location of Assignment
Metro Manila. However, due to the pandemic, work will be carried out from home until further notice. If not currently based in the NCR, the candidate will be willing to relocate to NCR as soon the situation improves and there is not much threat of COVID transmission.
About you
To ensure you're a suitable candidate, we would like you to hold the following:
Bachelor's degree in Accounting, Business Administration, Finance or similar relevant field;
Minimum two years' relevant working experience, preferably with non-government agencies;
Demonstrated basic accounting knowledge and experience;
Excellent working knowledge of MSOffice (Excel, Word and PowerPoint);
Preferably has experience working with QuickBooks;
Good English command and with financial and analytical skills;
Detail-oriented and able to work independently
Initiative-taking proactive personality with a and ability to multi-task
