Job Summary:
 
The Finance and Admin Assistant is responsible in the planning, coordination, and implementation of accounting activities based on approved guidelines and internal controls.  Part of the role is to facilitate financial transactions to effectively carry out organizational activities.  Critical to the role is the ability to organize, prioritize tasks, manage time, perform multiple tasks, and to communicate effectively with staff, clients, and partners.
 
Duties and Responsibilities:
Bookkeeping
Reviews, analyzes, and records all financial transactions into the books of accounts.
Ensures records are organized,  filed, and secured in a safe place for easy retrieval.
Ensures the confidentiality, integrity, and availability of financial information.
Prepares monthly financial reports required by management.
Cashiering
Reviews check vouchers, writes checks, and releases check payments to employees, suppliers or vendors.
Acts as petty cash custodian or cashier and prepares petty cash vouchers for weekly cash count.
Monitors and receives cash return from employees.
Acts as custodian of accountable forms such as Request for Check Preparation, Liquidation and Reimbursement Forms, Revolving Fund Vouchers, and Cash Advance Forms.   
Processes collection of accounts receivables and reimbursements, issues official receipts, and deposits received checks, payments, and excess money from employees' cash advances. 
Controls issuance and monitors validity or expiry of official receipts.
Conducts inventory and monitors movement of all fixed assets such as repairs, disposal, and borrowing of office equipment.
Prepares BIR 2307 and ensures copy is received by the supplier or vendor.
Generates BIR quarterly alpha list for withholding tax expanded.
Maintains and monitors list of supplier TIN and COR.
Payroll
Processes SSS premium contribution and loans payment
Prepares list of HDMF contribution for conversion to Bancnet e-Gov facility
Updates PHIC contribution and generates SPA for Bancnet e-Gov facility processing
Maintains files of SSS, PHIC, and HDMF contribution and loans
Procurement
Processes canvassing of office supplies, furniture, and equipment. 
Sources out suppliers and negotiates effective payment schemes following BIR regulations.
General Admin
Ensures electricity, water, communication and other bills are processed and paid on time; 
Facilitates the processing of renewal of government permits (business permit, BIR, and DSWD) and monitoring of SEC and other government registrations; 
Keeps office directory containing key partners and suppliers contact information up to date; 
Receives and screens visitors, telephone calls and correspondence directed to PTI staff; 
Tracks assets/equipment and maintains employee asset accountability lists; 
Ensures all staff members are provided with sufficient equipment and materials to perform their duties excellently within the approved budget; 
Others
Liaises with government and private agencies as instructed by the Finance and Admin Manager.  
Assists Finance and Admin Manager in managing the filing system and storage of all office documents (electronic and non-electronic). 
Attends weekly meeting with direct supervisor
Perform other related duties as required and necessary
Qualifications
Bachelor Degree in Accountancy, Business Administration or Management  
At least one (1) year experience in the field of accounting and office administration  
Knowledge in QuickBooks is an advantage.
Excellent written and verbal communication skills
High level of attention to detail, professionalism, and commitment to excellence
High intellectual curiosity and strong willingness to continually learn and strengthen one's professional knowledge and skills
Ability to empathize and communicate effectively with people from different social backgrounds
Ability to develop a genuine passion for the mission of PTI
Proficient in Microsoft Office applications
