Job Description
Job Summary:
Provide administrative support to accounting firm and brand development department undertaking clerical tasks such as filing, making phone calls, handling mail, profit & loss, handling talent fees and bookkeeping. Help maintain the office and keep it running smoothly. As well as helping the manager, may also deal with customers and external agencies.
Duties and Responsibilities:
Working and preparing statutory accounts.
Calculating and checking to make sure payments, amounts and records are correct.
Managing all account transactions.
Create and project and request event budgets
Reconcile monthly operating budgets and share updated financial reports.
Processing all requirements for opening and updating bank accounts
Purchase supplies and equipment as authorized by management
Pay supplier invoices in a timely manner
Pay any debt as it comes due for payment
Monitor debt levels and compliance with debt covenants
Issue invoices to customers
Ensure that receivables are collected promptly
Record cash receipts and make bank deposits
Maintain the petty cash/ revolving fund
Provide information to the external accountant who creates the company's financial statements
Assemble information for external auditors for the annual audit
Maintain an orderly accounting filing system
Calculate variances from the budget and report significant issues to management
Comply with local, state, and federal government reporting requirements
Process payroll in a timely manner
Provide clerical and administrative support to management as requested
Minimum Qualifications
Qualifications:
Solid understanding of basic bookkeeping and accounting, payable/receivable principles
Proven ability to calculate, post and manage accounting figures and financial records
Data entry skills along with a knack for numbers
Hands-on experience with spread sheets and proprietary software
Proficiency in English and in MS Office
Customer service orientation and negotiation skills
High degree of accuracy and attention to detail
BS degree in Finance, Accounting or Business Administration
