An Executive Secretary is responsible for supporting the daily job duties of a company's President. The duties include maintaining an Executive's appointment calendar, proofreading, taking meeting minutes, and documents before they go out to company employees or stakeholders, and answering phone calls or emails on the Executive's behalf. Duties and Responsibilities:
Managing multiple or complex calendars for meetings, travel, and personal commitments of the President.
Schedules and attend meetings on behalf of executives, taking notes and recording minutes.
Perform additional duties as assigned by the executive.
Creating memos, reports, and agendas as needed by the President.
Negotiating with suppliers and vendors to gather quotes, order supplies and maintain office inventory (on behalf of the Executive).
Skills and Qualifications:
Preferably with Bachelor's Degree in Office Administration or any related field.
With pleasing personality
With professional writing capabilities, including emails, memos, letters, and other industry-related reports, documents and correspondence.
Excellent verbal and written communication skills.
Ability to function well in a high-paced and at times stressful environment.
Preferably knowledgeable about the process and flow of the retail services industry is an advantage.
Preferably have background and experience as Executive Secretary or with equivalent work-related experience.
Can work w/out limitations (e.g. Spending overnight in other branches)
Confident personality.
Knowledgeable in managing the executive flow/process.
- At least 1-year related experience required.
