Job Description:
General Responsibility
Provide personal secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to the CEO's working life and communication.
Be the point of contact between the CEO and the company employees/clients and manage the information flow.
Manage the CEO's diary and arrange his daily schedule (set up meetings, travel, hotel bookings, visa applications and speaking engagements)
Oversee the performance of other clerical and administrative staff
Act as office manager by keeping up with office supply inventory
Format information for internal and external communication such as but not limited to emails, presentations, memos and reports of the CEO
Screen and direct phone calls for the CEO and distribute correspondence
Devise and maintain office filing system for the CEO
Schedule Management
Responsible for scheduling. This may include setting up travels, meetings, speaking engagements and other appointments for the executives they are assigned to work with. In addition to making appointments, this may also involve ensuring there are no scheduling conflicts and making sure the CEO know where he needs to be at the right time and place.
Office Management
Office management duties are responsibilities that may involve overseeing the work of clerical and administrative employees, as well as making sure that everything is in place for the office upkeep. Tasks may range from keeping up with office supply inventory to negotiating leases and purchasing agreements.
Communication Liaison
Manage the flow of information from the CEO to the company employees.
Information Preparation
Preparing and formatting information for internal and external distribution. This may include writing letters, compiling data for reports, creating computerized presentations, writing reports, transcribing dictation, editing, proofreading and other information preparation duties.
Records Management
Maintaining company records and sometimes responsible for setting up and managing both electronic and paper filing systems, as well as taking steps to maintain that the company is in compliance with all applicable record-keeping requirements.
Discretion
Company trade secrets and other confidential information. Maintain confidentiality and exercise discretion at all times.
Other Duties:
Performs other tasks and duties assigned by the CEO
May run errands for the CEO and other personal needs such as bank deposits, bills payment, attending to the maintenance of leases units, corresponding with clients in behalf of the CEO
May travel with the CEO if needed
