Job Descriptions
Under the general supervision of the Director, will provide high-level administrative and personal support, and manage the day-to-day activity of the Director. The Executive Personal Assistant also serves as a liaison for the Directors and communicates on his behalf with concerned parties (Executive Drivers, Office Managers, Architect, Suppliers and Contractors).
RESPONSIBILITIES:
Working with the Director to schedule and confirm all meetings, coordinate travel, screen calls and organize itineraries.
Serve as the primary administrator, activities coordinator and point of contact
Deliver correspondence to different authorities and assist in processing various documents (such as airport pass etc.) as requested by the director.
Acting as a key liaison point between the director and other key parties, setting up meetings as appropriate and maintaining good communications.
Handling of director's requests and queries.
Help to Facilitates the processing of legal documents for the expats such as Alien Employment Permit (AEP), Alien Certificate of Registration (ACR), Passport Renewal, NBI Clearance, and the like.
Canvass and purchases personal supplies on a regular basis. Performs regular inventory and implements necessary controls to maximize usage.
Can take charge of the different office equipment such as telephone, fax machine, typewriter, and photocopier by way of monitoring usage, arranges repair needs, and implements appropriate controls. Conducts orientation on the proper use of office equipment on new office staff.
Receives/sends official correspondence through snail mail or airborne packages by way of providers of delivery services.
Coordinates hotel bookings reservations, airline tickets purchases, and car rental arrangements.
Any other duties as may be required
Job Qualifications
Female 23 - 35 yrs. old
College Graduate preferably a degree related to Office Management.
With at least two year experience of the same position.
Proficient in computer application on Microsoft Word, Excel, and Powerpoint
Knowledgeable in the of basic office equipment.
Excellent interpersonal skills
Flexible and with very efficient organizational skills
Efficient written and verbal communications
Trustworthy and must maintain strict confidentiality on information acquired in the performance of duties
Demonstrate sound work ethics
Attention to details and high level of accuracy
Analytical and problem solving skills
