We are seeking a highly organized and proactive Executive Assistant (EA) to support the CEO in overseeing the operations of a diversified business group engaged in restaurant, FMCG distribution, and retail.
 
The EA will serve as the right hand of the CEO-managing schedules, ensuring smooth coordination across business units, handling confidential information, communication and correspondence and event coordination.
This role requires exceptional organizational skills, presentation skills, business acumen, and the ability to thrive in a fast-paced, dynamic environment.
 
Key Responsibilities:
 
Executive Support
Administrative and calendar managament: manage and maintain the CEO's calendar, appointments, meetings, and travel arrangements.
Draft, review, and manage correspondence, reports, and presentations for the CEO.
Serve as the gatekeeper by prioritizing requests and ensuring effective time management.
Maintain confidentiality of sensitive business and personal matters.
Business Operations Support
Assist in preparing materials for board meetings, strategy sessions, and external business engagements.
Follow up with business leaders on decisions and action items to ensure timely execution.
Strategic & Project Support
Assist in drafting proposals, contracts, and executive summaries for major initiatives.
Stakeholder & Communication Management
Act as the primary liaison between the CEO and internal/external stakeholders.
Draft professional communication on behalf of the CEO for clients, partners, and regulatory bodies.
Coordinate VIP engagements, networking events, and special functions.
Qualifications:
Bachelor's Degree in Business Administration, Management, Communications, or related field.
At least 2-5 years of experience in administrative or executive support roles, preferably supporting C-level executives in FMCG, retail, or hospitality.
Strong organizational and multitasking skills, with the ability to anticipate needs and act proactively.
Excellent verbal and written communication skills.
High level of discretion, professionalism, and integrity.
Proficiency in MS Office Suite, Google Workspace, and management and productivity tools.
Strong analytical skills with experience in preparing reports and presentations.
Work Setup:
Based at the company's head office, with occasional travel to restaurant branches, distribution centers, and retail outlets.
Full-time, with flexibility to adjust schedule depending on CEO's business requirements.
