The Executive Assistant/Secretary plays a crucial function in supporting the efficient operation of the business unit. Responsibilities include managing schedules, coordinating meetings, and handling various administrative tasks to ensure smooth day-to-day operations. Attention to detail, strong organizational skills, and multitasking abilities are essential for facilitating effective communication and decision-making at the executive level.
Responsibilities:
Manage the Executive's calendar, scheduling meetings, appointments, and travel arrangements.
Screen and direct phone calls and emails, respond to inquiries, and handle correspondences.
Prepare and edit documents, presentations, and reports for internal and external communication.
Coordinate and organize meetings, conferences, and events, including logistical arrangements and agenda preparation.
Provide administrative support for special projects and initiatives, including research, data analysis, and presentation development.
Act as a liaison between the Executive and internal staff, external partners, and stakeholders, fostering positive relationships and facilitating effective communication.
Manage confidential information and documents with discretion and professionalism.
Handle expense reports, budget tracking, and other financial tasks as needed.
Anticipate the needs of the Executive and proactively address them to ensure smooth operations.
Assist with ad-hoc tasks and projects.
Qualifications:
Three to five years of relevant experience
Excellent organizational and time management skills.
Strong communication skills, both written and verbal.
Proficiency in office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to handle sensitive and confidential information with discretion.
Attention to detail and accuracy in completing tasks.
Flexibility and adaptability to handle changing priorities and deadlines.
Proactive and able to anticipate the needs of the executive.
Experience in calendar management, travel coordination, and meeting scheduling.
Ability to work independently and as part of a team.
Professionalism and a positive attitude in interacting with colleagues and external partners.
