We are seeking an enthusiastic and organised individual to join our team as a Volunteer Coordinator and Personal Assistant to our co-founder. This multifaceted role involves managing volunteers, providing support for Jewish events, and assisting with general administrative tasks to ensure the smooth operation of our organization.
Roles and Responsibilities:
Part 1: Volunteer Coordinator
Volunteer Management: Oversee all aspects of our volunteer program, from recruitment to recognition.
Volunteer Administration: Handle volunteer inquiries, sign-ups, and maintain comprehensive records of volunteer events.
Event Coordination: Efficiently manage and log volunteering events, ensuring a positive and rewarding experience for our volunteers.
Feedback and Surveys: Implement surveys to gather feedback from volunteers and identify areas for improvement.
Recognition: Develop strategies to recognize and appreciate the dedication of our volunteers.
Follow-up: Engage with volunteers who have signed up but were unable to participate and vice versa, to ensure engagement and commitment.
Part 2: Personal Assistant to the Co-Founder
Support for Jewish Events: Provide dedicated assistance to the Co-Founder in organising and managing Jewish events.
Communication: Handle email correspondence related to volunteer coordination for these events.
Design and Creativity: Create simple and visually appealing flyers, posters, and materials required for the events.
Liaison: Act as a liaison between the Co-Founder and key stakeholders, facilitating smooth communication and coordination.
Part 3: General Administrative Support
Back-End Assistance: Support the administrative needs of team members, stepping in for a team member as required.
Process Mapping: Create and maintain process maps to enhance organisational efficiency.
Research and Innovation: Conduct research to explore ideas for process improvement inspired by insights from the Founder.
Research and Innovation: Assist in researching software/tools related to ongoing projects.
User Acceptance Testing: Participate in User Acceptance Testing for various projects within the organization.
Data Entry: Provide ad hoc data entry support for projects and data transfers.
Requirements:
Strong organisational and communication skills.
Attention to detail and the ability to multitask effectively.
Knowledgeable in graphic design tools for creating promotional materials.
Familiarity with volunteer management systems is a plus.
Ability to work collaboratively and autonomously with the team members and stakeholders.
An understanding of Jewish customs and traditions would be beneficial but not mandatory.
