Executive Assistant
Job Description:
Maintain executives' calendars, schedule appointments, arrange meetings, and coordinate travel arrangements.
Handle incoming and outgoing communications, including phone calls, emails, and other forms of correspondence.
Draft and prepare documents, reports, and presentations.
Arrange and coordinate meetings, conferences, or events.
Prepare meeting agendas and take minutes.
Manage and organize documents, files, and records.
Maintain confidentiality and handle sensitive information with discretion.
Provide general administrative support, such as filing, data entry, managing expense reports, etc.
Act as a liaison between the executives and other staff members or departments.
Assist with various projects, including research, data analysis, reports, and coordination of deliverables.
Perform other duties as assigned.
Qualifications:
At least 1 year of work experience in a corporate office
Fluent in business English
Exceptional written and verbal English communication skills
Strong organizational and time management skills
Ability to prioritize tasks, meet deadlines, and adapt to changing circumstances
Attention to detail and able to convey information clearly and professionally
High level of integrity; can deal with sensitive and confidential information
Strong problem-solving skills, decision-making skills, and negotiation abilities
Effectively work under pressure, manage multiple priorities, and meet deadlines
Strong interpersonal skills for building positive relationships, working collaboratively with diverse individuals, and maintaining a professional demeanor even in high-pressure situations
Advance Computer Skills (Tech Savvy)
Proficiency in using various software applications, including Google Workspace, MS Office, email, calendar management tools, and other relevant software systems
Equipment Requirements:
Hardware: Laptop/Desktop (at least i3 processor and 8 GB RAM)
Computer headset with noise-cancelling feature, Webcam
Internet: wired connection; minimum of 10 Mbps
Software: Microsoft Office & PDF reader, Anydesk, Gdrive, Skype, Zoom
