The ideal candidate will be reporting directly to the Chairman.
 
The Executive Assistant to the Chairman provides executive, administrative support to the Chairman. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Chairman. The Executive Assistant serves as a liaison to the Board of Directors and senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees special projects.

QUALIFICATIONS:
Candidate must possess at least Bachelor's/College Degree, preferably Business Administration/Management/Commerce or equivalent with extensive administrative experience.
Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
Three (3) to Five (5) years providing support for upper-level management in a related organization.
Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and clients.
Ability to conduct research and present data in a succinct and well-written manner.
Ability to work independently and with professional discretion.
Excellent writing, editing, grammatical, organizational, and research skills
Thorough understanding of office management procedures and legal contracts management
Excellent organizational and time management skills
Analytical abilities and aptitude in problem-solving
Excellent written and verbal communication skills
Proficiency in MS Office
PRIMARY RESPONSIBILITIES:
 
Executive Support
Assists the Chairman/CEO with daily administrative duties and completes a broad variety of administrative tasks that include managing an active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
Communicates with the general staff on the Chairman/CEO's behalf and coordinates logistics with high-level meetings both internally and externally. Coordinates meetings and strategic activities with the SLT, The Management Team (TMG), and members of ET staff. (See Management Support.)
Drafts business reports, grants applications, proposals; prepares and coordinates oral and written communication with BOD and clients
Supports Chairman/CEO in his external commitments related to business, including service on external boards, committees and other groups.
Support and Liaison
Serves as the Chairman's administrative liaison to the Board of Directors and manages Board activities, which include coordinating semi-annual Board meetings and dinners; semi-annual Board staff lunches/receptions/new Board member orientations; arranging hotel accommodations for out-of-town Board members; processing travel reimbursement requests; and compiling, assembling, and distributing Board meeting materials.
Coordinates Executive, Finance, Governance, and maintains confidential files and contact information; coordinates meetings, conferences, and committees both on and off site to support the Chairman's agenda.
Maintains Board portal (Directors Desk).
Management Liaison
Participates as an adjunct member of the Senior Level Team including assisting in scheduling, attending meetings. Represents the Chairman in designated meetings as required.
Assists in coordinating the agenda of senior management team meetings. Prepares an account of the meetings and designates and follows up on assigned action items.
Legal/Research Management
Perform basic legal research and analysis
Compile, proofread and if necessary revise drafts of legal documents and reports
Liaise with legal counsel and report information to Chairman on a particular legal contracts and agreement.
Office Management
Providing administrative support to Chairman, Senior Executives and Management Team
Preparing business correspondence, documentation and presentation
Preparing reports on expenses, office budgets and other expenditures
Maintain a company calendar and schedule appointments.
Update office policies and procedures
Organize a filing system for important and confidential company documents.
Monitoring and maintain office equipment and inventory supplies, orders placement supplies as needed.
Submit inventory records to Finance for reconciliation and auditing purposes.
Travel Management
Preparing travel arrangements and accommodations for the Chairman office and Senior Executives
Overseeing and preparing expense reports and budgets for travel using Expensify report of the Chairman and Senior Executives
Implement and orient travel policies to travelling Senior Executives
Events Management
Provides administrative support (procurement) to Marketing/Sales team during global exhibits/events that would require the Chairman's participation (Speaking engagement, article, etc.)
Responsible to engage with Event's organizers for requirements on behalf of the Chairman
Prepare applications for grants and awards on behalf of the Chairman
