Purpose:
The primary role of the Executive Assistant is to provide administrative support to our Australian-based Executive Team while working remotely in the Philippines. The Executive Assistant should be able to handle administrative projects and deliver high-quality work under minimum supervision. The ideal candidate is comfortable with the full Microsoft Office or Google suite, is a natural problem solver and is a master multitasker.
The Executive Assistant will report into the Chief Operating Officer (COO), and will support the COO and their direct reports (Head of and Director level).
Position Tasks and Responsibilities:
Maintaining appointment schedules and calendar
Planning and scheduling meetings, conferences, and/or travel
Making travel arrangements including flight and hotel bookings
Booking venues with attention to financial constraints
Maximizing the executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information
Email management
Create presentations, as assigned
Prepare Executive Summary Reports and other ad hoc reports
Conducting research on various topics
Providing customer/supplier support
Update and monitor business critical documentation (including minutes and actions of meetings)
Other ad hoc duties, as assigned
Knowledge, Skills, Experience and Competencies:
Knowledge:
In depth knowledge of Outsourced Doers product offering
In depth knowledge of Outsourced Doers processes and Procedures
Skills:
Excellent communication, interpersonal, collaboration skills
Time Management Skills and ability to finish tasks in a timely manner and ability to work unsupervised and to work autonomously and be self-motivated with high levels of initiative and drive.
Organizational skills- Have a system in place in keeping important files and tasks management

Experience with word-processing software and spreadsheets (e.g. MS Office)

Ability to work independently
Experience/Education:
Bachelor's degree holder of any related field
Proven experience as an Executive Assistant. Minimum of 1 year work experience related to the position
