Executive Assistant (Project Management)
What are we looking for:
We are in search of an exceptional Executive Assistant who will play an integral role in supporting the success of the client by providing a variety of support services mainly to the Chief Operating Officer. This individual will collaborate closely with the COO to plan, execute, and track critical business activities and strategic projects.
The successful candidate will understand the core functions of the COO, thrive in a team environment, possess a high degree of self-confidence and executive presence, exercise discretion and diplomacy in all interactions, have the ability to proactively anticipate and manage challenges, be a self-starter with strong abilities to manage multiple responsibilities and prioritize appropriately, work efficiently and remain flexible to changes in schedule and work hours (including flexibility to work overtime as required).
This role is 100% work from home.
In this role, your responsibilities will include but not be limited to:
General executive assistant support
Receive all written communication for the COO
Calendar management
Be responsible for email and calendar management, organising meetings and booking travel and logistics
Facilitate and/or participate and take minutes of meetings and workshop, follow up with action items; as well as delegating tasks to internal team members using project management tools
Exercise administrative judgment and assumes responsibility for decisions, consequences, and results impacting staff, costs, and/or quality of service within the functional area
Other personal and administrative support as required
Specific business and project support (Project Management)
Create process documentation/ workflows, knowledge articles, and self-service guidance for the organization
Stakeholder relationship
Collect and document business requirements and process improvement/automation efforts
Facilitate SOP process workflow modeling in order to collaborate on process improvements and clearly defined end-to-end use cases
Review information and trends to ensure that the output of processes is achieving the desired results
Conduct maturity assessments against the process activities to highlight areas of improvement or concerns
Creatively apply project management processes to address unique situations. Assess project status and direct corrective measures to ensure project success including escalation and visibility to COO & Senior Leadership when appropriate.
Assist in creating project plans detailing project schedule, resource estimates, quality requirements and metrics, and organizational change management activities. Establish project roles and responsibilities and provide team members with clear direction.
About You:
Core qualifications:
At least 3 yrs of experience as an Executive Assistant, Project Manager or equivalent
Passionate about Healthcare
Pipedrive CRM experience will be an added advantage
Flexible mindset, teamplayer, technically savvy with strong organizational skills.
Problem Solver - Able to objectively assess difficult situations and execute solutions. Comfort with numbers and quantitative analysis is a bonus.
Strong Organizational Skills - the ability to collaborate, manage potentially conflicting priorities and focus to reach a positive outcome for all, whilst sharing information and resources appropriately.
Effective Communicator - Excellent written, verbal, and presentation skills to drive team communication. Convey messages in an accurate and reliable manner through a variety of communication channels.
Adaptable -performs well under minimal supervision in a fast paced environment while maintaining accuracy and thoroughness.
Team Player - Can virtually manage COO's activities and monitor Executive team needs. You will have the ability to react quickly, effectively, and decisively as well as be trustworthy and supportive with a high degree of integrity and loyalty.
