EXECUTIVE ASSISTANT TO THE VICE PRESIDENT
 
Organizational Setting and Reporting Relationship
 
The Executive Assistant to the Vice President reports directly to the Vice President and serves as a critical support role within the organization. The position operates at the highest levels of the organization, collaborating closely with senior executives, department heads, and external partners. The Executive Assistant will work in a highly confidential and strategic capacity to ensure the Vice President's priorities are met, organizational goals are advanced, and internal operations run efficiently
 
Position Summary
 
We are seeking an experienced and highly organized Executive Assistant to the Vice President to provide comprehensive administrative support, ensure the seamless execution of strategic initiatives, and act as a key liaison between the Vice President and internal/external stakeholders. This role demands exceptional professionalism, discretion, and the ability to manage a variety of high-level tasks in a fast-paced environment.
 
Key Responsibilities:
Administrative Support: Organize and manage executive schedules, including coordinating meetings, appointments, and travel logistics.
Communication Management: Manage email correspondence, draft responses, and handle phone calls on behalf of executives.
Document Preparation: Create, edit, and finalize reports, presentations, and other professional documents as required.
Project Coordination: Support the planning and tracking of projects, ensuring timely completion and efficient task execution.
Research and Analysis: Support research on various topics, such as market trends, competitor insights, and other business-relevant areas.
Data Management: Maintain a well-organized system for files, documents, and records.
Task Prioritization: Assist in identifying priorities and managing daily agendas for executives.
Confidentiality: Handle sensitive and confidential information with professionalism and discretion.
Client and Stakeholder Relations: Facilitate client communication and help maintain strong relationships with stakeholders.
Process Improvement: Recommend and implement process enhancements to improve administrative efficiency.
Event Representation: Represent or accompany the Vice President at key events and conferences.
Interdepartmental Coordination: Collaborate with various departments to streamline workflow and communication.
Special Projects: Assist in special projects assigned by the Vice President, ensuring successful execution.
Perform other duties that may be assigned by the Vice President.
Qualifications:
A bachelor's degree in business administration (preferred), public administration, or a related field, complemented by relevant professional experience.
A minimum of 3 years of professional experience, preferably within multilateral organizations or similar environments.
Proficiency in advanced computer applications, including word processing, spreadsheets, and other commonly used software tools.
Strong interpersonal and cross-cultural communication skills, with the ability to collaborate effectively with individuals from diverse professional and cultural backgrounds.
Proven experience in coordinating across multiple teams and successfully organizing events.
Exceptional written and verbal communication skills in English, Filipino, and Cebuano dialect, with the ability to produce clear and concise documents and presentations.
