Description
Our client is a small but fast-growing information security company operating across Australia, USA,
and the United Kingdom. The company's management team is set on delivering an ambitious growth plan
and requires support from an experienced Administrative / Executive Assistant to allow them to
focus on the big picture.
Administrative / Executive Assistant provides day-to-day support to the Management team with
various administrative and operational tasks. This position will require working US Eastern Standard
Time hours (GMT-5)
Responsibilities & duties
• Attend meetings and take meetings minutes as required,
• Transcribe meeting notes from a recording,
• Support document management, filing and records keeping,
• Assist with the preparation of investor reports and newsletters,
• Format documents and presentations using company templates and branding,
• Assist with managing diaries, planning meetings and company events,
• Support HR processes, including initial review of CVs, arranging interviews, and assisting with the onboarding of new hires,
• Help maintain the Company website, including uploading and formatting content.
• Answer initial enquiries from prospective clients and partners, and redirect them to the
appropriate ISTK team member.
• Manage Team Foundation Server (TFS) board - our task and workflow management tool,
• Book travel and accommodation,
• Work closely with the accounting team to support invoicing, expense reports, etc,
• Provide support with any ad hoc administrative requests as required
Required Skills & Experience
Essential
• Minimum 3+ years of experience in a similar role,
• Excellent verbal and written communication skills, with good English grammar and spelling,
• Proven ability to multi-task and effective time management skills,
• High attention to detail is essential,
• Reliable, with strong professional ethics,
• Technology-savvy, a proficient user of MS Office, GSuite and other office applications,
• Knowledgeable of the administration and document management processes.
Desirable
• Experience working with Xero (accounting) software,
• Familiarity with TFS workflow management tools is highly desirable
