Job Description :
This is a remote position.
Executive Administrative Assistant (Nightshift | USA Client)
Part-time 20 hours per week
Offer is at Php 20,000 take-home pay monthly
Monday to Friday: 9:00 pm to 1:00 am Philippine Time

About the Client:
Our client based in the USA specializes in supplying metal, plastic, and rubber components and related assemblies. They are a world-class company that supplies directly to European and North American markets for heavy industry, automotive, light industry, and consumer goods. This includes experience in sub-markets such as: electrical motors, truck, tractor, bus, forklift mast, automotive, gas and oil, valves, construction/mining and specialty purpose vehicles, hydraulic cylinders and actuators, gearboxes, and waste water filtration.
About the Role:
· Office Management:
HSA - Year End. From copies of the client's account statements.
Travel Arrangements - Domestic and International.
Research Projects
Correcting Word Documents.
Creating and Maintaining Excel Documents.
Some support of non-profit work in which the client's company engages.
· Quality Control:
Logging, Initiating, generating E-files, tracking 8D's and Deviations.
· Sourcing:
Logging, Initiating, and generating e-files.
Generating RFQ Covers and Excel Matrix.
Generating Quotes to Customer. (note: training will be provided. It usually takes 3hrs to put 1 quote together and around 80% of the steps will be done by the staff)
· Sales/Marketing:
Initial Review of Cold Calling Lists from IVC, Associations, Shows, specific industry focus lists - weeding out non-manufacturers, identifying contact information (Website/phone/name/email/location) (note: Google and LinkedIn leads research)
Maintain spreadsheet of material managers, commodity managers, purchasing managers, for companies that are consumer of our product. 3 - 5 per company.
Need company main phone number where the contact sits, direct phone number of contact, email address, position title, and confirmation that they still work in that role.
Make phone calls as needed to determine key contacts and contact information if not available via internet/social media. (note: CSM to help set-up calling via Google Voice/Skype)
· Financial Management/Bookkeeper:
Capable to do Quickbooks On-line, but will not perform this duty early on. Possibly later. (note: they have hired a CPA office to do their books located just 2 miles away from their office but they may start having the staff do tagging expenses and such on Quickbooks when they are confident enough with the skills of the staff)
Specific Research Tasks
· Operations:
Commission Invoices
Debit Memo's
· General Guidelines:
Access to Drop Box.
Interface directly with different department Managers.
Requirements
Minimum 2 years experience in an executive administrative/assistant role.
Must have in office Copier/Printer/Scanner.
Experience using QuickBooks required
Strong English communication skills with awesome writing capability
Highly skilled researcher
Proven track record of organizing and managing executive travel itineraries, meetings, and the likes
Efficient with email, scheduling, and calendar management etc.
High level rapport-building skills and etiquette; can get through gatekeepers
Ability to follow processes and procedures and document them in great detail
Highly skilled in dealing with numbers
Ability to execute tasks with high professionalism and prioritization
Tech-savvy: quick learner for new platforms and systems
Highly disciplined, extremely organized, and pays great attention to details
Self-starter who can work autonomously and able to get things done with minimal supervision
