Executive Admin/Legal Assistant
Job Description:
• Answer phone calls and divert to client and/or take a message as appropriate.
• Open and close files using software (Smokeball).
• Obtain charge papers from Police Prosecutors for new clients and/or new charges.
• Organize psychological reports i.e. send letter of instruction.
• Schedule appointments with clients, barristers, etc.
• Draft legal letters to send to clients at end of matter.
• Obtain reviews from previous clients by providing link and making calls / texts.
• Summarize documents including police briefs.
• Contact DPP / Police Prosecutors / barristers regarding upcoming matters.
• Complete Legal Aid extensions, applications, and claims.
• Complete online registry tasks - filing notice of appearance, requesting transcripts for matters.
• Organize documents for brief i.e. using index template.
• Email documents to the Court to be placed on file.
• Seek leave from Court for AVL appearances.
• Update calendar and rescheduling as required.
• Transcribe documents and or verbal notes.
• Make calls to certain agencies with queries i.e. Service NSW, Legal Aid, DPP, Police Prosecutors.
• Send invoices and receipts for trust deposit.
• Chase debtors (phone call, emails etc).
Additional tasks that will be added in the future and will be trained by the client:
• Legal Research - find cases relevant to charges/matter, find statistics for sentencing matters.
• Draft online blogs.
• Draft LinkedIn posts - for business and personal page.
• Draft Instagram posts i.e. select image or video from collection and draft content.
• Edit videos for above.
• Check on SEO (once implemented).
Qualifications:
• Has 2 years in an Executive Assistant position.
• Experience in using Microsoft Suite.
• Strong Written and Verbal communication skills.
• High Attention to Details.
• Efficient and Reliable.
• Has initiative (i.e. checks diary for upcoming matters and see what is required (i.e. missing brief materials / no funds in trust).
• Able to take feedback but also able to suggest ideas (i.e. has own mind when creating processes and improving efficiency)
• Knows when to be very professional and knows when that can be loosened a bit (i.e. in conversations with the client).
