Reports To: Human Resources Manager
Job Purpose:
To create, maintain, and standardize job descriptions, workflows, and operational documentation for all positions within the organization, ensuring clarity, consistency, and knowledge retention.
 
Key Responsibilities:
Role Documentation:
Conduct interviews with employees and managers to gather role-specific details.
Develop comprehensive job descriptions, including tasks, KPIs, and required competencies.
Update job descriptions periodically based on evolving organizational needs.
Workflow Documentation:
Map out key processes and workflows for each department.
Can create clear and accessible process diagrams.
Collaborate with department heads to validate and refine workflows.
Knowledge Repository Management:
Develop a centralized system to store and organize all documentation.
Ensure the repository is regularly updated and accessible to relevant stakeholders.
Train employees on how to use the repository effectively.
Onboarding Support:
Provide new hires with role-specific documentation and workflow overviews.
Assist the onboarding team in tailoring materials for new hires.
Audit and Feedback:
Conduct periodic audits of existing documentation to ensure relevance and accuracy.
Collect feedback from employees on the usability of documentation and implement improvements.
Qualifications:
Bachelor's degree in Industrial Engineering , Organizational Development, Business Administration, or a related field.
Proven experience in documentation, knowledge management, or process improvement a great advantage
Strong analytical and communication skills.
Proficiency in documentation tools (e.g., MS Office, Google Suite, or specialized software).
KPIs for the Role:
Percentage of roles with up-to-date job descriptions.
Average time taken to document and validate a workflow.
Usage rate of the centralized knowledge repository.
Feedback scores from new hires on the quality of onboarding materials.
