CSC PRESCRIBED QUALIFICATION STANDARDS
Education : Completion of two-year studies in College/High School Graduate with relevant vocational/trade course
Experience : Two (2) years of relevant experience
Training : Sixteen (8) hours of relevant training
PREFERRED QUALIFICATIONS
Education : Bachelor's Degree preferably in Public Administration, Office Management, or any other related courses
Experience : At least two (2) years of experience on office administration and secretarial work
Training : 8 hours of relevant training on office administration and secretarial works
Additional Competency
1. With knowledge on government administration;
2. With working knowledge in ISO 9001 (Quality Management System) Standards
3. Above average knowledge on use of MS Office and Google Suite;
4. Great attention to details;
5. Flexible, responsive, and smart;
6. Able to work harmoniously, competently and effectively even under pressure;
7. Willing to work long hours, even on weekends and holidays especially during disaster operation; and
8. Possesses critical thinking with high levels of written and oral communication, and computer skills.
JOB DESCRIPTION
The Administrative Assistant V (AA V) shall be working under an Executive Office. Primarily, he/she will provide assistance to the office, specifically in the DSWD-wide ISO 9001:2015. He/She is expected to provide administrative and logistical support to ensure the performance of duties of the office.
PRIMARY TASKS
1. Provide administrative and logistical support for the successful certification of the Office to ISO 9001:2015 standard, and the establishment of the DSWD Quality Management Program;
2. Prepare/draft communications, correspondences, and reports as assigned;
3. Provide administrative and logistical support to the office involving completed staff work for action documents;
4. Manage records and maintain physical assets of the office;
5. Review and vet documents as to completeness, accuracy of staff work, and compliance to existing rules and regulations prior to endorsing to the Executive Assistant/ Assistant Secretary for information/ approval/ instructions;
6. Coordinate and collaborate with offices within and/or outside the Department to ensure efficient, effective, and timely delivery of services;
7. Provide administrative and secretariat functions to meetings/activities related to the office's special projects;
8. Provide assistance to all other activities related to quality management; and
9. Perform other tasks as assigned.
