Position Summary:
The Corporate Communications Project Coordinator is a great writer and communicator with excellent organizational, planning and project management skills. The position reports to and supports the Chief Communications Officer and will also help with research, writing, editing, administrative duties and the overall Corporate Communications internal and external editorial calendar. The Corp. Comms. Project Coordinator will work with the CC leadership team to manage the processes crucial to a thriving Corporate Communications organization. Integral to this position is helping to manage campaign and project timelines, budgets and resources to support the team's efforts. The Project Coordinator will leverage a background in project management and change management to help scale and organize the teams work, with the ultimate goal of creating and implementing effective and efficient processes. The Project Coordinator will also manage and maintain public relations and other databases to provide essential reports and daily communications, perform basic public relations activities, and support and enhance the work of the Corporate Communications team and leaders.
Essential Duties and Responsibilities:
Support Corporate Communications team members in clarifying project objectives and planning, monitoring and delivering projects.
Ensure adequate communication and hand-off of tasks between Corporate Communications and its collaborators, including external partners and internal stakeholders.
Respond to requests for information from internal clients, team members and other employees with accuracy and in a professional and timely manner.
Create project timelines and execution plans using project management software.
Develop, enforce and improve established processes, standards and documentation needed within Corporate Communications to successfully execute on team goals.
Maintain and update operating procedures and processes for the department.
Support the CCO and other leaders in Corporate Communications with thought leadership activations throughout the year, to promote and support their commitments to sustainability, diversity, equity, inclusion and community engagement, as well as the programs and employee initiatives that continue to make RCG a recognized top employer.
Develop and analyze requests for feasibility and cost benefit; project and budget tracking and oversight.
Participate in vendor selection and review vendor contracts in conjunction with the Lead, Strategic Communications Initiatives, procurement and legal counsel.
Build project management professionalism among the Corporate Communications team:
Assessing and managing risks to project success
Promoting consistent adoption of operating standards
Supporting team members in performing retrospectives and debriefs to assess and improve communications processes
Supporting team members in adopting measurement and evaluation practices and tracking of key performance indicators (KPIs) by partnering with the Lead, Strategic Communications Initiatives
Collaborate with other Corporate Communications team members to identify corporate and individual award and recognition opportunities, and contribute to developing entries.
Support the Chief Communications Officer and team by assisting with administrative tasks, which may include:
Setting and scheduling meetings, meeting room set-up, catering and travel, as appropriate.
Coordinating team memberships and attendance to conferences and events.
Creating presentation decks on behalf of the Corporate Communications leadership team and assisting in preparation of presentations for Executive Committee meetings.
Coordinating all Corporate Communications leadership and team meetings.
Creating expense reports and vendor cost estimates.
Coordinate details, track assignments, and follow up on replies relating to special projects as directed.
Provide backup assistance to others in Corporate Communications as needed.
Complete other tasks assigned by the Chief Communications Officer.
Qualifications, Knowledge, and Skills:
Bachelor's degree in Journalism, Communications, Public Relations, Marketing or related field.
3-5 years of experience in PR or advertising agency account management or project management.
Sound news judgment and working knowledge of AP Style.
Excellent verbal and written communication skills including editing and proofreading abilities and being comfortable asking questions.
Strong interpersonal skills to interact with executives, peers and employees and comfortable in taking direction while also using own initiative.
Experience with Cision, PR Newswire, Meltwater, Trello and/or other tools used in content production and dissemination.
Openness to new ideas, coaching and continual process improvement.
Outstanding computer skills, especially all MS Office programs.
Work under pressure to meet strict due dates/timelines; may work overtime with limited advance notice.
Demonstrated organizational and critical thinking skills needed to work effectively on multiple projects with competing priorities.
Demonstrated experience managing projects, preferably in the communications, public relations, marketing, or media spaces.
Ability to proactively surface and diagnose problems and find solutions; expresses curiosity, a thirst for knowledge and is team-oriented.
Detail oriented with ability to quickly adapt and apply new tools and processes.
Ability to present information clearly and concisely.
