Job Title: Construction Virtual Assistant
Job Overview: As a Construction Virtual Assistant, you will be responsible for managing incoming and outgoing phone communications within the construction company. Working hours: 2:00 am to 10:00 am Eastern Standard Time
Responsibilities:
Phone Communication Management:
Answer and direct incoming phone calls to the appropriate department or individual.
Make outgoing calls for various purposes, including follow-ups, scheduling, and coordination.
Appointment Scheduling:
Schedule appointments, meetings, and conference calls for internal staff and external stakeholders.
Coordinate with project managers and team leads to ensure availability and optimal scheduling.
Internal Coordination:
Facilitate communication between different departments within the company.
Relay important messages, updates, and information to relevant team members.
Customer Service Support:
Assist in addressing customer inquiries and directing them to the appropriate department or personnel.
Work closely with customer service representatives to ensure timely and accurate resolution of customer issues.
Documentation:
Maintain detailed and organized records of phone communications, including call logs and messages.
Document important information and relay messages to the appropriate parties.
Project Coordination:
Collaborate with project managers to coordinate phone-related activities for construction projects.
Relay project updates, timelines, and important information to relevant stakeholders.
Vendor and Supplier Communication:
Coordinate phone communication with vendors, suppliers, and subcontractors.
Verify orders, delivery schedules, and resolve any communication issues.
Team Collaboration:
Collaborate with other coordinators and support staff to ensure seamless communication.
Participate in team meetings and provide updates on phone-related activities.
Adherence to Policies:
Adhere to company policies and procedures related to phone communication and coordination.
Ensure compliance with confidentiality and data protection policies.
Qualifications:
Proven experience in a coordination or customer service role, preferably in the construction industry.
Excellent verbal communication and interpersonal skills.
