Job Overview: A Dynamic Balance
 
This is a core administrative, sales support, and active client coordination role suited for someone who excels at office organization, internal scheduling, and front-line client interaction in the field. The ideal candidate will be the reliable link between our technical team, sales department, and our clients, driving both internal efficiency and business growth. This role offers a dynamic balance of office-based support and active fieldwork.
Work Location: The primary office is located in Mandaue City, Cebu.
 
Key Responsibilities
 
The primary focus is split between managing administrative and operational logistics, and actively supporting client acquisition and service. Responsibilities will include:
 
Client Coordination & Business Development (Field/Client-Facing)
 
Active Lead Closure: Engaging with potential clients to follow up on proposals and close leads to secure new business contracts.
Site/Field Visits: Conducting necessary site and field visits to assess client needs, deliver proposals, and maintain strong client relationships. Travel is required within Cebu Province, Region VII (Central Visayas), and occasionally across the country.
Marketing & Presentation: Actively marketing the company's products and services during meetings and site visits with potential clients.
Strategic Meetings: Attending sales and introductory meetings with potential clients, often alongside technical or management personnel.
Lead Tracking: Diligently tracking all sales leads, updating progress, and maintaining the sales pipeline within the CRM (HubSpot, Google Sheets).
 
Administrative & Operations Support (Office-Based)
 
Administrative Support: Handling general office administration, including documentation, filing, and managing official correspondence.
Scheduling & Logistics: Coordinating service technician schedules, dispatching work orders, and tracking adherence to client timelines.
Sales & Service Follow-up: Managing direct communication with existing clients regarding service schedules, maintenance appointments, and project updates.
Procurement Assistance: Assisting in light procurement, organizing supplier coordination, and tracking internal inventory related to service jobs.
Handling incoming customer inquiries and escalating technical issues to the appropriate team.
 
Requirements & Qualifications
 
 
Education:
 
Bachelor's degree or relevant experience in fields such as Hospitality Management, Tourism Management, Business Management, or Marketing Management are highly preferred. (We value the customer service, organizational, and presentation skills learned in these fields.)
 
Experience:
 
At least 1-2 years of experience in office administration, customer service, or a client-facing support role that involved active coordination or sales support.
Fresh graduates and College-level applicants with strong communication, organizational, and an eagerness for fieldwork are welcome to apply.
 
Skills & Competencies:
 
Excellent professional communication skills (written and verbal) for presenting to and negotiating with business-to-business clients.
Strong organizational and multitasking abilities to handle both office tasks and fieldwork logistics.
Proficiency in Google Workspace (Docs, Sheets, Drive, Gmail) is essential.
Familiarity with CRM software (like HubSpot) is a strong advantage.
A strong attention to detail and proven problem-solving skills.
Must be able to travel frequently for client and site visits.
