Synct is looking for a Broker Admin Assistant to join our company who will play an integral role in facilitating the sales process by ensuring that all necessary paperwork is in order and that clients receive exceptional service. The ideal candidate will be organized, a specialist at administrative support and a team player who can efficiently work with all levels of employees.
Responsibilities:
Manage all administrative tasks.
Manage information flow in a timely and accurate manner.
Prepare meeting schedule and handle calendar Management.
Monitor incoming and outgoing e-mails to identify actions to be taken and maintain lists of action items with utmost level of confidentiality.
Oversee and administer payroll procedures for staff and management.
Coordinate and communicate with clients, vendors, and partners to ensure smooth arrangements and provide exceptional customer service.
Submit and track client applications online.
Work closely with clients to collect necessary documentation for their applications, facilitating a speedy processing time.
Record and support new contract mobilisation.
Reviewing existing contracts and updating them.
Update the database with the latest information and ensure data accuracy.
Act as a liaison between our panel of clients, providing regular updates to the broker and clients on the status of their applications.
Requirements:
2 - 3 years of extensive experience working as an Executive Assistant.
Proficient in Microsoft Office Suite.
Attention to detail and accuracy in work product.
Excellent communicator able to give clear written and verbal communication to everyone.
You thrive on using your analytical skills and problem-solving abilities to identify and solve issues before they arise.
You can work in a fast-paced environment, with strong time management and prioritization skills and sense of urgency to address critical business issues.
You see the big picture while focusing on the process and procedures necessary to produce deliverables.
Process oriented with great documentation skills.
Excellent oral and written communication and presentation skills.
