Job Summary
Main Objectives and Duties
1. Telephone service
Answer calls from internal clients
Conference links
Attending conferences to take notes in lieu of the Director
Take calls from external customers to:
Follow up the call back
Take messages
Follow up on pending cases
Manage calls for a better service.
2. File Management
File management and confidential documents.
Archive documents based on folders organized by the Directorate and give notice where filed.
Manage and keep on hand the documents most frequently used.
File management and personal documents.
3. Assistance Activities
Administration and timing of activities based on calendar.
Coordinate travel based on the local agenda.
Manage contacts by email, phone, cards.
Prepare minutes of meetings.
Assist in administrative work: ppt presentations, makeover business
presentations.
Write letters, emails or documents.
Follow up activities to meet requesting 100% that activity.
Make purchase requests and monitoring the system inputs needed in the corresponding department.
Assist on various activities to members of area (scan, copy, emails, calls, etc).
Keeping close relationship with the department's colleagues.
Always show the best service attitude to all, internal and external personnel, vendors, clients, visitors, etc.
4. Purchase system management
Assist with purchase orders and follow up.

High School Diploma.
Secretary studies certification (desirable)
1 year experience in similar position
