POSITION SUMMARY:
Works under the direction of the General Counsel, the Sr Director Associate Counsel and the Associate Counsel whose responsibilities include contractual, regulatory and administrative work. The Legal Executive Administrator provides general secretarial duties and support to attorneys; prepares communication, presentations and spreadsheets, addresses general correspondence; point of contact with external organizations and vendors. Attends to phone, file maintenance and daily calendar for executive meetings and conferences; coordinates travel arrangements and completes expense reports.
Will also have trademark and digital responsibilities.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Provides complex secretarial support: prepares/word processes contracts, correspondence, presentations and reports. Contacts department clients. Handles information technology, facilities and other administrative service requests on behalf of the attorneys.
2. Trademark responsibilities: Conducts basic research and drafts reports, maintains a schedule of trademarks, filings and deadlines, communicates with business units and outside counsel, coordinates billing, and updates and maintains training materials
3. Digital responsibilities: Maintains the FastTrack contract automation tool, works with attorneys and staff on contract templates and questions, assists with updating the legal department intranet site
4. Provides paralegal services: drafts and reviews legal correspondence, researches miscellaneous legal issues; contacts outside and third party counsel.
5. Handles paper/email correspondence; manages daily calendar, maintains office files, answers telephone calls, schedules meetings for attorneys as needed.
6. Makes copies of outgoing correspondence or other printed matters.
7. Provide support by maintaining responsibility for making certain required filings with appropriate governmental bodies.
8. Processes certain requests for permits, certificates or licenses.
9. Receives and screens visitors and telephone calls; responds to inquiries on a variety of matters. Addresses general inquires from executives or external vendors. Schedules and arranges meetings and conferences and notifies interested parties; arranges travel for attorneys including scheduling transportation, making hotel reservations and prepares expense reports.

QUALIFICATIONS:
College/Associate degree from an accredited college in legal/business areas preferred, paralegal training and/or degree a plus; basic understanding of trademark law and the trademark registration process a plus.
Minimum of three to four years of secretarial experience required.
Strong working knowledge of Word, Power Point and Excel required. Ability to use advanced tools in Word to create templates and other forms are a plus.
KNOWLEDGE AND SKILLS:
Self-starter with proven capacity to adapt quickly and proficiently to new tasks and responsibilities.
Must be able to multitask, able to set priorities, handle multiple projects, manage deadlines and work effectively with people.
Strong oral, written (including proof-reading) and interpersonal skills required for communication with multiple constituencies. Strong attention to detail. Proficiency in digital and software applications preferred.
Physical Demands:

The environment includes work inside/outside the office and possible travel to other offices. A high noise level is possible if visiting shipboard or offsite locations.
