The ideal candidate is organized, proactive, and comfortable communicating with both customers and internal teams.Key ResponsibilitiesAdministrative & Office SupportManage inbound emails and basic inquiriesAssist with calendar management, scheduling, and follow-upsPrepare and maintain digital documents, reports, and recordsProvide general administrative tasks as needed to support operationsCustomer CoordinationServe as a point of contact for customer updates and follow-upsAssist with scheduling appointments, confirmations, and reschedulingMaintain customer records and ensure accurate documentation in the CRMData Entry & Systems ManagementEnter and update customer, job, and invoice information accuratelyEnsure data integrity across records and platformsSupport workflow management to prevent backlogs and delaysAccounts & Invoice SupportReview invoices, check for discrepancies, and assist in reconciliationCoordinate with internal teams regarding invoice adjustmentsTrack cleanup progress and flag inconsistencies for escalationVendor & Technician CoordinationOrder and track parts or supplies when requiredCoordinate with vendors regarding availability and delivery timelinesCommunicate job details, updates, and parts status to field techniciansQualificationsAt least 1-2 years of experience in administrative, customer service, or VA rolesExcellent written and verbal communication skillsStrong organizational and time-management abilitiesProficient in Google Workspace and Microsoft OfficeExperience with CRM or job tracking tools is a plus (e.g., Housecall Pro, ServiceTitan)Able to work with minimal supervision and manage multiple tasks efficiently
