We are seeking an energetic and capable administrative secretary to assist us with office administration. In this role, the successful candidate will assume the duty of clerical and administrative support to Executives in order to optimize workflow procedures in the office.
The successful candidate shall be directly reporting to the Operations Manager and assist the CEO's Executive Assistant while performing secretarial and administrative duties. And there is an open opportunity for career growth within the organization.
Job Description:
· Perform all secretarial duties such as preparing and disseminating correspondence, memos and forms; word processing such as typing, editing, and formatting reports, meeting notes and other documents.
· Liaise with various government offices such as BIR, SSS, PhilHealth and PAG-IBIG to process and submit mandatory contributions and reports; liaise with the local Property Management Office (Megaworld) regarding various administrative concerns including monitoring billing and payment of rent, utility dues etc.
· Calendar Management for the Operations Manager
· Monitoring office supplies and ordering replacements.
· Handle and operate basic office equipment
· Assist during the conduct of office meetings and other office events.
· Observing the best business practices and etiquette.
Special tasks or projects may be assigned from time to time in relation to the performance of your work.
This is a full-time on-site position (NOT REMOTE) and experienced candidates preferred are residents of Lapu-Lapu City, Cebu and able to regularly commute to and from Mactan Newtown. We observe EST (8:30 PM to 5:30 AM Philippine Standard Time) for our work timings.
Qualifications:
· Bachelor's degree holder of any 4-year business-related course.
· Proven secretarial and administrative support experience of at least 3 years.
· Must be tech-savvy; Advanced Microsoft Office skills, with the ability and willingness to become familiar with firm-specific programs and software.
· Possession of certain work-related skills such as Research, Data Entry and Social Media Accounts Management are preferred although not required.
· Strong organizational, project management, and problem-solving skills.
· Must be able to meet deadlines in a fast-paced corporate environment.
· Excellent written and verbal communication skills.
· Exceptional interpersonal skills.
· Ability to multitask, and work independently with minimum supervision.
