What is the opportunity?
As the Administrative Officer, you will be responsible for providing quality administrative and receptionist support for the businesses in Hong Kong, maintaining high quality standard of services and continuing to seek for efficient and effective process to handle all the administration related duties.
What will you do?
Handle day-to-day all round office administration tasks for offices
Rotate reception counter duty
Perform and arrange bulk mailings to business for daily and monthly basis
Handle incoming and outgoing daily mailings and document delivery when necessary
Liaise with management office and contractor for building service
Coordinating daily administrative duties such as keys record, stationery ordering, office cleaning and pest control arrangement etc.
Responsible for record storage management including but not limited to maintain inventory list, contact storage vendor to retrieve or to collect archive boxes and destruction monitoring
Manage inventory of Company printing items, e.g. letterheads, envelopes and others
Prepare month-end report (OOP) of company and clients' expenses for Financial Control Department
Carry out other ad-hoc administration related duties and projects assigned by the company/manager
Overtime/ weekend duties as required
What do you need to succeed?
Must-have
Higher Diploma or above in Business Administration or relevant disciplines
Minimum 2 years of experience as a receptionist and office administration
Good command of written and spoken English
Proficiency of MS office applications
Good team player and result oriented
Pleasant character with excellent telephone manner
Self-motivated and ability to work under pressure in a fast paced environment
Mature and can work independently
Strong organization skills with multi-tasking ability
Nice-to-have
Preferred 1 year of working experience in sizeable firm or banking industry
