Job Overview:
 
The Administrative Manager is responsible for overseeing and coordinating the administrative, operational, and support functions within Velez College. The role ensures efficient delivery of services, compliance with institutional policies, and effective resource management to support academic and student services.
 
Key Responsibilities:
 
Administrative Management
Oversee day-to-day administrative operations, ensuring smooth and efficient support to academic and student affairs.
Implement and monitor university-wide policies, procedures, and guidelines within the entity.
Maintain accurate records, reports, and documentation for compliance, accreditation, and audit purposes.
Manage procurement and inventory of office supplies, equipment, and materials.
People & Office Management
Supervise, train, and evaluate administrative staff assigned to the entity.
Promote a culture of professionalism, accountability, and continuous improvement.
Coordinate schedules, meetings, and official communications of the school's leadership.
Facilities & Resource Management
Oversee upkeep, maintenance, and utilization of classrooms, offices, laboratories, and common areas.
Coordinate with facilities, IT, and security teams for timely response to infrastructure and logistical needs.
Ensure health, safety, and security protocols are implemented within the premises.
Financial & Budgetary Support
Assist in budget preparation, monitoring, and expense tracking for the entity.
Ensure proper allocation and utilization of resources in line with the academe or school's policies.
Facilitate financial reporting, petty cash handling, and purchasing requisitions as needed.
Stakeholder Support
Provide administrative support to faculty, staff, and students.
Serve as liaison between the school and government agencies, accrediting bodies, and other stakeholders.
Assist in organizing academic events, seminars, orientations, and special projects.
Compliance & Governance
Ensure adherence to the school regulations, government education policies, and legal requirements.
Support documentation and requirements for accreditation, audits, and institutional reporting.
Maintain confidentiality and data protection standards in handling sensitive academic and administrative information.
Qualification:
Bachelor's degree in business administration, Management, Public Administration, or related field.
At least 5 years of progressive administrative/management experience, preferably in higher education or institutional settings.
Strong leadership, organizational, and multitasking skills
Knowledge of higher education or academic operations, compliance, and accreditation processes.
Excellent communication and interpersonal skills.
Proficiency in office software and management systems.
Financial and resource management capability.
Ability to manage diverse teams and foster collaborations.
