Job Summary:
Responsible for assisting the Head in all administrative matters for his unit/department.
Duties & Responsibilities:
Schedules and coordinates appointments/meetings
Handles all incoming and outgoing calls
Receives, screens and assists visitors
Handles all incoming and outgoing correspondences
prepares draft memos
finalizes copies of memos
receives, sorts and distributes all incoming correspondences
records and releases all outgoing correspondences
Handles supplies and company giveaway requisitions
Assists in the preparation, distribution of units company related requirements
Photocopies/faxes documents as requested
Monitors phone expenses
Receives notices of absence from department/unit employees
Manages files and records
Assists in the preparation of documents/presentation materials
Trains Office Assistant
Schedules leaves, anticipates and endorses duties/responsibilities when on leave
Performs other related functions as may be assigned from time to time
Qualifications:
1. Graduate of a 4-year bachelor degree course, preferably Secretarial
2. Preferably has experience using office productivity tools like spreadsheet, presentation and word processor
