We are seeking someone who is interested in being a key contributor and will work closely with the leadership team on administrative and operational initiatives, including the professional greeting and support of CGI members and guests. In addition, this member will support the Executive Step Review (ESR) process which is fundamental to CGI's business development efforts. As an ESR Coordinator, the member will provide timely review of the proposal requests to ensure compliance with business requirements, address any discrepancies with business stakeholders and enable senior staff review and approval prior to client communication. This role must be located Belton, TX FUTURE DUTIES AND RESPONSIBILITIES . Support strategic office location. Tasks include, but not limited to: organizing set-up and cleanup of meeting space, booking conference rooms, signing for packages, answering door and reception voicemail, cleaning/organizing kitchen, maintaining office supplies, and distributing office badges. . Plan local, all hands and CGI member meetings and social events (internal and external) as well as ordering catering for meetings. Supporting visiting client and CGI team meetings to include catering, room coordination and access. . Assist with onboarding of new members and answering expense and timesheet questions / policy questions. . Manage Procurement processes for the Belton office to support consistent facility processes and avoidance of any late charges Coordinate with the Belton center lead for forecasting of expenditures and approval of associated invoices. . Support senior staff members with travel requirements, calendar management, presentation support, staff meeting minutes, office correspondence and data entry in company internal systems (Customer Resource Management and financial) as well as ensuring company compliance in relationship to these systems. . Manage center distribution lists and announcements, and provide general administrative support, as needed. Executive Step Review (ESR) Coordinator responsibilities: . Confirm that each request is submitted correctly in the ESR Intake tool. Compare the request information to the information in the customer relationship management (CRM) system's entry and ensure the proper documentation and approvers according to guidelines. . Contact the requestor if more information is needed such as documentation, updates to the CRM entry, questions, etc. . Process confirmed requests via email, send for approvals or submit to Executive Assistants for scheduling, update the CRM, and update the status of the request in the ESR Intake tool. Follow up on approvals as needed. . Quality check all documents and call materials before distributing. . Assist requesters with navigating the ESR Intake Tool and answer general questions regarding the ESR process and proper steps required for each opportunity. REQUIRED QUALIFICATIONS TO BE SUCCESSFUL IN THIS ROLE . Excellent organizational skills and attention to detail . Strong written/oral communication skills, including documentation skills . Capable to independently research as questions arise, and recommend potential solutions . At least three to five years previous experience working in an office environment, performing administrative tasks and providing support to coworkers. The ability to multitask, organize a daily workload by priorities, manage complex schedules, and meet ever-changing deadlines in a fast-paced environment is essential to the position. . Strong computer/internet skills with expertise in MS Office (Microsoft Word, Outlook, PowerPoint and Excel) and ability to multitask between systems and Outlook. . Ability to work outside of business hours as needed (not expected at all times). . Energetic, professional corporate image, and positive attitude and willingness to learn and take on new tasks. Associate or Bachelor degree preferred.
