Job Description
Job Duties:
Provides whatever work-related support that the Administration Manager may require such as:
Acting as custodian for office supplies, medicines and cleaning supplies
Preparing Monthly Request for Replenishment of Supplies
Updates the records filing system of the department in SharePoint
Placing Purchase Orders
Monitors and updates the renewal of business permits, certificates and policies
Ensures that all paperwork and regulatory requirements (e.g. SEC, BIR, Business Permits, etc.) are processed on time
Tracking teams travel spending, making sure budget is met
Coordinates space and office organization; maintaining paper and electronic files
Issues reports, receipts, and other tracking documents for documentary purposes
Liaise with logistics and external clearing agent from time to time
Invoice checking and allocating costs to the relevant project manager
Placing Good Receipt on Purchase Order for completed work by suppliers
Support Internal or External visits (i.e. Director or others)
Performs other administrative and management tasks as required by supervisor and management
Knowledgeable on how to process Visa Application
Job Qualifications:
With at least 2-3 years work experience as Administrative Assistant
Bachelor's degree or equivalent required
Must be resourceful, detail-oriented and has good negotiation skills
Knowledge of the MS Office suite particularly MS Excel functions
Must have good interpersonal and communication skills both oral and written.
Strengths with strategic and analytical thinking
Proven ability to communicate English (written and spoken)
Clear ability to handle multiple priorities
Excellent visionary, strategic and clear leadership skills
Strong thinking/problem-solving skills which can be applied to business processes with a "can-do" attitude
