Responsibilities
Provides secretarial and administrative support to the Department Manager, his staff, and the whole organization to accomplish department goals and objectives. Serves as the focal point of information within the department. Participates in decision-making and handles administrative problems independently.
Collates weekly reports of department managers' subordinates and other key performance metrics reports of the department integrate reports and ensures reports are submitted on time
Monitoring of department budgets (if assigned by department manager) and tracking of monthly department expenses
Prepares presentations for department managers if instructed
Prepares correspondence (letters, transmittal documents) for department/ department manager
Responsible for customized forms used in the departments serviced
Raises purchase requisitions through Oracle
Attends to accommodation and other logistics needs of company visitors
Arranges logistics for company meetings held inside or outside company premises
Set up & maintain files/records and other pertinent documents/tracks and maintains employees' records, eg accountability forms/attendance
Handles processing, distribution, and approval of department invoices and other company documents
Ability to discern confidential to non-classified information/documents
Ensures utmost confidentiality of classified information
Acts on matters in the absence of the Executive
Decides on timeliness in raising requisitions or recommending the purchase of office needs (supplies or machine-related)
Assists department manager that procedures and policies set by the company are implemented by the latter's subordinates
Responsible for the deployment of the Lean Office 5S+ procedures and standards.
Qualifications
Requirements
Graduate of any 4 yr. business related course.
With at least 2 years of experience as an office clerk or administrative assistant
Good communication skills (interpersonal and written)
Knowledgeable in MS Office.
Above-average organization skills and the ability to handle multiple tasks and decide on administrative matters independently.
Office skills:
Equipment: desktop and laptop computers, telephone, multi-media projectors, fax machines, photocopying machines, electric binders, and others.
Interpersonal: proper handling/screening of incoming telephone calls. Sets appointments for the boss and coordinates logistics and attendance of meeting participants. Attends to following-up activities or feedback required by department managers. The focal point of information within the department on administrative concerns
Written Communication: Composition and proofreading. Ability to document meetings (minutes of the meeting)
