Classification: Assistant
Salary Grade: 10000 - 13000 Peso / month
Reports To: People Management Manager
Primary Relationships: Clark Outsourcing Internal Team

Background:
As an Administrative Assistant you will perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our Associate for Benefits and Administrative, assisting in daily employee needs in regards with their benefits. Administrative Assistant will be responsible for monitoring and administration of employees' rewards, perks and benefits and shall collaborate with the team on constant review of Employee Benefits. You will also be responsible for keeping up-to-date, accurate records of all employees that are constantly moving in the course of the business and employment needs of the organization.

This is an office based position in Clark Freeport Zone, Pampanga.
Responsibilities:
Administer benefits, perks of Internal Employees and Client Staff employees (Leave administration, HMOs, Lockers, Uniforms (,CO T-shirt, Polo shirt and Swag bag)
Supervise enrolment of new employees and current but eligible employees on company issued benefits and process - Attendance System(WYS) enrolment, Unionbank ATM enrolment, Leave Credit enrolment, Biometrics Enrolment)
Act as Administrator of Employee Database system (Airtable) and Google Drive record of employees which serve as the basis for issuance, disbursement, renewal of company provided benefits.
Make sure that Employee Database system (Airtable) are all up to date with regards to all records of employees (new employees, date hired, record based on tenurity/anniversaries, based on levels, salaries, birthdays, Govt ID records, Family Contact Records, Employee Movement - Transfer, Promotions, etc), Resignation, Clearances and keeping and archive of resigned employees.
Conduct, update weekly/monthly reports of employee records/benefits using Employee Database system (Airtable) and Google Drive.
Works hand in hand with People Management Manager, Associate, Interns on distributions of work, daily operations pertaining to benefits administration, records management.
Creation and updating of Company ID for new employees and current employees.
Preparation documents for Trainees and/or New Hires to facilitate the Onboarding and Contract Signing.
Regular audit of 201 files of employees to ensure completion of requirements is maintained
Ensure completion of employees' pre-employment requirements upon on-boarding
Coordination with new hires to ensure completion and accuracy of benefits-related documents (such as SSS loan statements, BIR 2305 / 1905, Philhealth PMRF, HDMF MDF)
Preparation of Notice of Change in Employment Terms by Addendum Creation and Regular Contract Creation
Responsible for answering employment verification.
Regularly attends departmental and/or project meetings as required.
Complete tasks delegated/assigned by the People Management Manager
Requirements:
Excellent English language skills (written and verbal)
Proactive and willing to be trained
Good time management and task management skills
Proficiency in MS Office and Google Suite
Proficient computer and technical skills
Able to demonstrate initiative
Attention to detail (required)
Strong organizational skills with the ability to multitask
Ability to keep confidential information
Willing to adopt a fast-paced working environment.
High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
