Administrative Assistant provides efficient support to Engineering Department and the company. With thorough understanding of clerical and secretarial principles. Duties include general clerical, making travel arrangements, and maintaining appropriate filing systems.
Provides administrative support to the General Manager, Engineers and staff to ensure operations are maintained in an effective, up-to-date and accurate manner
Update and records daily itinerary of GM and Engineers
Performs a variety of related duties and special projects as assigned from time to time.
Managing databases. Recording / updating information as needed. · Arranging appointments, encoding, and collating reports
Records Management. Maintaining effective client records and administration (Active or Inactive). Effective filing system, encoding, preparing and collating reports. Ensures all document and records are secured and properly maintained.
Arrangement and organizing meetings. Ensuring meetings are effectively organized. Preparation of agenda and taking minutes.

Coordinate/ assist Engineers on processing training/ seminar requirements for out of town and international travel as approved by GM.
Prepares semi-monthly attendance summary report of Engineering Department, submitted to HR Department as required for Payroll.
Handling telephone and email queries, taking messages.
Handling and disseminate correspondence i.e. Memorandum, Acknowledgement Receipts, Liquidations, Reimbursements, etc.
Requirements
Graduate of Bachelor of Science in Business Administration degree in Management, Marketing, Office Administration, Secretarial, HRM, or equivalent.
Good communication. Must possess excellent phone etiquette. Ability to multi task, organized, attention to details and accuracy.
Proficient in Microsoft Office : Word, Excel, Powerpoint
Proficient in all office procedures including encoding, sorting, filing, and ordering supplies.
Ability to work with minimal supervision, with strong time management skills, resourceful.
Able to work productively under pressure and fast-paced environment.
Excellent organizational skills, and discretion with confidential information.
Candidate must be willing to work in Annapolis Greenhills, San Juan City.
