We are looking for an Administration Manager to look after their Quality management system and documentation.
Roles and responsibilities:
About the Role
This position is primarily responsible the organisation's administration functions in relation to Human Resources, Integrated Management Systems and Finance & Administration Functions.
We are looking for a full-time dynamic, vibrant person to join our busy office where you will actively support our strategic plan and grow our companies administration function
Integrated Management System Duties
Maintain our Work Health & Safety System, Risk Management/ Environmental/Quality Assurance (QA) systems across and improve the usage of Work Health System and standardised reporting
Maintaining Record Management and reviewing any unwanted variances in, processes or outcomes and assist with developing processes to improve our integrated management systems
Identify and implement more efficient and effective processes and procedures in collaboration with management, seeking continuous improvement
Human Resources Administration
Maintain and ensure accuracy of the HR Systems
Support the Director and team with HR projects and roll out of company initiatives
Accountable for all HR reporting, including end of month and adhoc requirements
Recruitment administration including onboarding administration and processing of relevant employment documentation
Identify and implement more efficient and effective processes and procedures in collaboration with the management team seeking continuous improvement
Finance Administration
Assistance with performing Accounts Payable and Procurement activities
Assistance with managing our inventory systems
Support the Finance team with Payroll and General Administrative duties
Office Management Duties/ General Help Desk
General Office Management Duties
Maintain our Maintenance Help Desk Function
Job Qualifications:
Minimum of 3 years' experience in General admin / Administrative role / Virtual admin assistant
Email management, fax, and scanning
Data entry management
Competent with computer operations as well as some specific applications, such as SharePoint, Microsoft Word, Excel, outlook.
Experience with relevant computer systems
The person must be keen to learn and develop their computer competencies.
Excellent and professional written and verbal communication skills
Particularly good in verbal and written English communication skills.
Able to work remotely within a virtual team environment
Well developed, detail orientated organization skills
With high level attention to details
