ADMIN ASSISTANT
 
GENERAL DESCRIPTION
 
The Administrative Assistant provides comprehensive clerical, administrative, and basic accounting support to ensure the smooth, efficient, and well-organized operation of the office. This role is essential in maintaining accurate documentation, supporting compliance requirements, and assisting clientele, staff, and management in daily administrative functions.
 
Key responsibilities include managing office records and correspondence, coordinating meetings and schedules, assisting in accounting transactions, and ensuring timely submission of government and regulatory requirements.
 
The Administrative Assistant reports directly to the Section Head - HR and Administration and works closely with internal personnel, clients, and external stakeholders.
 
DUTIES AND RESPONSIBILITIES
 
A. Administrative and Clerical Support
Assist clientele, visitors both in person and via email or phone.
File, maintain, and update all office documents, ensuring accuracy and confidentiality.
Set up and coordinate meetings, conferences, and schedules.
Perform general clerical tasks including encoding, photocopying, filing, emailing, scanning, and mailing.
Create and modify documents using Microsoft Office and Excel.
Research prices and purchase office equipment and supplies as needed.
Receive and distribute all incoming mails, inter-office communications, and deliveries.
Prepare Daily Time Records (DTR) and assist in notarial documentation.
B. Accounting and Financial Support
Prepare monthly statements of accounts for clients.
Process vouchers and petty cash fund replenishments.
Enter and edit invoices, payments, receipts, and credit memos.
Receive cash/check payments from clients and issue official receipts.
Perform bank reconciliation using QuickBooks.
Prepare and submit BIR forms, tax payments, and other required filings.
Input Alpha list and RELIEF data entries as required.
C. Government and Regulatory Compliance
File and follow up cases with courts and relevant government agencies as instructed.
Submit SSS, PhilHealth, and PAG-IBIG monthly contributions.
File General Information Sheet (GIS), Financial Statements (FS), and facilitate new corporation registration with the SEC (Cebu Office).
Ensure accurate and timely compliance with statutory and regulatory requirements.
D. Other Responsibilities
Assist in preparing notarial documents for submission.
Support colleagues and management in ad hoc tasks as assigned, provided they are not contrary to labor laws.
Maintain professionalism and confidentiality in handling sensitive information.
Perform other relevant tasks as assigned from time to time.
QUALIFICATIONS:
Bachelor's degree preferably in Business Administration, Accounting, Management, or any related course.
At least two (2) years of relevant experience in clerical, administrative, or accounting support functions.
Proficient in Microsoft Office applications, particularly Word and Excel; familiarity with accounting software such as QuickBooks is an advantage.
Knowledgeable in government compliance and statutory reporting requirements, including SSS, PhilHealth, PAG-IBIG, BIR, and SEC processes.
Highly organized and detail-oriented, with strong multitasking and time management abilities.
Excellent written and verbal communication skills, with the ability to interact professionally with clients and internal stakeholders.
Capable of working independently with minimal supervision, as well as collaboratively within a team environment.
