Job Descriptions
ADMIN WORKS
Answer phone calls
Organize and schedule meetings and appointments
Record minutes of the meeting
Produce and distribute correspondence memos, letters, emails and forms
Assist in the preparation of regularly scheduled reports
Develop and maintain a filing system
Assisting purchasing for office supplies request by different.
Generate biometric time log reports
Provides admin support to operations
Contribute to team effort by accomplishing related results as needed
·Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
Write letters and emails on behalf of other office staff
INVENTORY
Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories
Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies in coordination with Purchasing
Inventories of the following: Front Office Materials & Medicine, Wellness & Recreation materials in pool area, activities, spa and medicine supplies, Engineering supplies & tools, Admin first aid supplies, Housekeeping supplies for amenities, linens, duvet, pillow case, flat sheet, towels, cleaning supplies and others.
TIME LOGS FOR AGENCY
Generate time logs of employee from Biometric machine
Computation of number of days, overtime, Holiday, Special holiday, Night differential
Monitoring of cut off for Housekeeping-every 1 to 15th of the month and 16th to 30/31st of the month
Monitoring of cut-off for Front Office, Recreation, Maintenance-every 6th -20th of the month and 21st - 5th of the month
ACCOUNTING WORKS
Daily Audit reports-auditing of sales report from Front Office Department(checking gate pass vs voucher, issuance of official receipt vs voucher, issuance of breakfast coupons vs voucher, room transfer form and complimentary/discount form
Tally sheet of extra bed and extra person (make sure that all extra person kid and adult are properly charge and monitored.
Issuance of breakfast and lunch voucher-check Hotelogix first for the actual number of guest with breakfast inclusion on reservation
Monitoring of gate pass-always make sure that the gate pass are properly monitor(kids ages should be indicated on gate pass
Room report-taking pictures of vacant and DNR rooms for the day
Department report-collect all department report such as Room status, attendance and room assignment, take a picture and save on department report folder. This should be done daily.
Issuance of audit finding notice-Make sure to issue corresponding audit if there is discrepancy and negligence on duty.
Spot check cash float at Front office department-FO cash float is 1200, make sure to check it at least 3 times a week.
Checking of used O.R from Front Office vs entry on QB
Summary guest arrival-compilation of day tour for the whole month put the name of concerned employee, content of the LTE and your recommendation or suggestion to avoid such audit.
Tourist arrival-monthly monitoring of guest folio to check the actual guest account per month, their nationality and gender.
OTHERS
Undertake other duties and tasks that may be assigned from time to time
Job Qualifications
Graduate of Bachelor Degree in Psychology, Human Resources and other relevant courses
2-3 years' experience as HR Assistant, Payroll Officer or Administrative Assistant is required.
