Job Purpose:
Provide accurate data entry and general ledger coding to all vendor invoices and internal payment requests to ensure proper accounts are charged to the appropriate account code. Follows up on stale checks/outstanding checks with vendor as needed.
Duties and Responsibilities:
- Receive and verify invoices and requisitions for goods and services.
- Verify the transactions comply with financial policies and procedures.
- Reviews all invoices for appropriate documentation and approval prior to payment.
- Ensures invoices are approved and items from which are received appropriately prior to entering into the system.
- Prepare batches of invoices for data entry.
- Provides accurate data entry & general ledger coding to all vendor invoices & internal payment requests to ensure proper accounts are charged to the appropriate account code.
- Charges expenses to accounts and cost centers by analyzing invoice/expense reports.
- Ensures that suppliers are paid within established time limits.
- Manages the scheduled weekly payment run.
- Process and prepare accounts payable vouchers for PO/Non-PO transactions.
- Answers all vendor inquiries regularly.
- Regularly monitors encoded Advances to Suppliers for clearing.
- Handles vendor relations/discrepancies/credit memo/follow-up.
- Prepares EWT Forms.
Job Requirements
- Graduate of any 4 years course, Bachelor of Science in Accountancy, Accounting Technology, Management Accounting, BSBA Financial Management or related courses
- With at least 1 year of related working experience, but fresh graduates are welcome to apply
- Knowledge of accounting principles, practices, standards, laws and regulations
- Proficient in the use of financial software
