JOB DESCRIPTION-FINANCE:
• Primarily responsible in managing/overseeing the Accounting Sections, ensuring that goals and objectives are achieved.
• Provides approval authority of various forms such as Petty Cash Vouchers, Check vouchers and Fund Transfers, etc.
• Establish and coordinate with depository banks the monitoring Company Accounts.
• Ascertain proper accounting for bank cash receipts thru the dollar and peso accounts.
• Prepare the Monthly Trial Balance to produce the financial statements; coordinate all accounting functions.
• Provides approval authority over petty cash disbursement.
• Assist any audit or examination of the accounting books of accounts.
• Reviews all financial reports - from the journal entries, postings to general ledger up to trial balance. Ensures that all data are accurate and properly recorded/presented in accordance with Philippine Accounting Standards.
• Prepares and process the semi-monthly Administrative Payroll. Ensures its accuracy and safeguard its confidentiality.
• Ascertain monthly closing of accounting records and maintain a monthly accounting schedule for the inventory of fixed assets and materials.
• Maintain and ascertain accounts receivable integrity from the Pro Forma Invoicing (by Customer Development); the preparation of the Commercial Invoice (by Logistics) and the resulting cash receipts thru the banks.
• Ensures error-free, accurate and timely reports that are provided to Top Management regularly as a tool in strategic planning.
• Initiates annual budget preparation ensures that budgetary requirements are well coordinated and collaborated with other departments before final presentation to Top Management.
• Consolidates performance evaluation of all staff. Coach and motivate all staff for continuous improvement on their performance.
• Others as assigned by the President or CEO.
JOB DESCRIPTION - ADMIN
A. Recruitment & Placement
1.) Conducts sourcing of potential candidates for existing vacant positions.
2.) Conducts paper screening of application forms.
3.) Administers tests to qualified applicants and evaluates the result.
4.) Conducts preliminary interview and character/background check of applicants prior to hiring.
5.) Facilitates the hiring/transfer of qualified candidates for vacant positions.
6.) Preparation of contract/MOA.
7.) Discuss job offer and contract to successful candidate.
8.) Responsible for the Company Orientation, business overview, workplace tour and
endorsement with their respective head.
9.) Monitors the status of probationary and casual employees and ensures their termination or
regularization on the designated time subject to applicable standards.
B. Benefits Management & Administration
1.) Ensures compliance of number of all employees (regular & casual) on SSS, Philhealth & Pag-ibig to be aligned with Accounting systems and reporting.
2.) Process the application of employees to SSS, Pag-ibig & Philhealth for their update of
employer.
3.) Responsible for the computation of Medical Reimbursement of Employees and ensures they
are properly filed to SSS.
4.) Responsible for the online registration of employees to SSS & Pag-ibig.
5.) Responsible for the submission of Loan Application Form (SSS & Pag-ibig) to AJV for
approval.
C. Payroll and Timekeeping
1.) Computes total man-hours of all employees as reflected on the daily time record and ensures correctness of timecard readings. (Production, Casual and Office employees)
2.) Responsible on the preparation of summary of attendance which includes the total number
of days, OT, Night Differential, Holiday, Absences, Leave with pay, lates, etc. Then, endorse
the copy of summary of attendance & payroll to AJV for checking.
3.) Payroll preparation for Production Regular & Casual and input deductions (SSS, Philhealth,
HDMF, Tax, HDMF Loan, SSS Loans).
4.) Responsible for the distribution of salaries and payslips to Production Regular
casual employees.
5.) Administer/process leaves of employees
