PET'S CHOICE INCORPORATED is currently looking for an Accounting & Admin Assistant responsible for maintaining accurate records of accounts receivable and inventory, ensuring all transactions are properly documented and up to date. The role supports both the accounting and operations teams in tracking customer balances, monitoring stock movement, and maintaining the integrity of financial and inventory data.
 
Accounts Receivable (A/R):
Record, update, and monitor customer accounts and collections.
Prepare and issue sales invoices, collection receipts, and statement of accounts (SOA).
Track due dates and follow up with customers for payments.
Reconcile A/R ledgers to ensure all payments are properly posted.
Coordinate with the sales and delivery teams for any billing or collection discrepancies.
Inventory Control:
Maintain and update inventory records for incoming and outgoing stocks.
Prepare and reconcile inventory reports (bimonthly)
Monitor stock levels, expiry dates, and discrepancies between physical count and system records.
Coordinate with the warehouse team for stock movement, adjustments, and physical counts.
Support periodic inventory audits and help identify variances.
Administrative and Accounting Support:
Maintain organized filing of accounting and inventory documents.
Assist in preparing reports for management review (A/R aging, inventory summaries, etc.).
Help process supplier documents (purchase orders, delivery receipts, invoices).
Perform clerical duties such as data encoding, document scanning, and correspondence.
Support other administrative functions as assigned by the Managing Director
REQUIREMENTS:
Bachelor's degree in Accounting, Finance, Business Administration, or related field
At least 1 year of experience in accounting or inventory management (experience in distribution is an advantage)
Proficient in MS Excel and familiar with accounting or inventory software (e.g., QuickBooks or similar)
Strong analytical and organizational skills with high attention to detail
Able to work independently and maintain confidentiality of financial data
Good communication and coordination skills
Able to provide structure and systems to a start-up company
